BGSU Event Calendar Tips
Creating a successful event page for the BGSU calendar requires clear, engaging and informative language that appeals to the University community. Your goal is to provide enough detail to capture attention while helping potential attendees quickly understand the purpose and appeal of the event. Here’s how to make it stand out:
Use simple, straightforward language to convey the event’s purpose. Avoid jargon or overly complex phrases. A clear title ensures potential attendees immediately understand what the event is about.
Use relevant keywords that reflect the theme, topic, or target audience of the event. This not only helps in making the title descriptive but also improves searchability online, making it easier for interested participants to find your event.
Infuse the title with words that create a sense of excitement or urgency. Words like “unleash,” “discover,” “celebrate,” or “transform” can make the event feel more appealing and worth attending.
If your event has a special guest, a unique activity, or a specific theme, consider incorporating that into the title. This can differentiate your event from others and draw in those specifically interested in those features.
Tailor the title to resonate with your target audience. Consider their interests, language, and what would appeal to them. A title that speaks directly to your audience’s desires or challenges can make a significant impact.
EXAMPLE EVENT TITLES
- Falcon Futures: BGSU Internship and Career Fair
- Beyond the Classroom: BGSU Leadership and Personal Development Summit
- Green and Proud: BGSU Environmental Sustainability Day
- Networking for Success: Meet Alumni and Industry Experts at BGSU
- Falcon Women in STEM: Inspiring Stories and Career Pathways
Crafting a strong event description takes time, and it can be tempting to write a few quick sentences and call it done. However, leaving out important details—such as the event’s purpose, agenda or unique features—can make potential attendees feel uncertain and hinder your marketing efforts.
It's important to remember that your event page continues to work for you long after your other marketing materials. When someone sees a flyer, digital sign or misplaces an email and wants to learn more information, they will likely search for your event online. So you want to ensure when they find the page, it is detailed and clear why they should attend. A well-crafted event page also increases the chances of discovery when people search for related topics.
Use this outline to create a detailed, engaging event description that will help your event stand out and attract attention once visitors land on your page.
Information that should always be included:
Provide a brief overview that captures the purpose of the event and why it’s worth attending. What makes it unique?
Is it open to the public, specific age groups, professional backgrounds or interest areas?
If you want to invite the Firelands campus, mention that specifically. Remember that this audience may not be familiar with the BG campus, so more details should be provided about parking, parking fees, etc.
Outline the main activities, speakers, or entertainment. Mention any special experiences or unique features, like workshops, networking opportunities, performances or key speakers.
Explain the event's value or benefit. What will attendees gain or enjoy?
Events with registration
- Let the audience know if registration is required or encouraged
- Explain how to register
- Include a link to the registration form or the email address of the person who they need to send the RSVP to
- Include the deadline (date and time)
- Note if it's free or there is a fee and how to pay
Events with NO registration
- Encourage the audience to add the event to their calendar. When someone does this the calendar will send them an email reminder and the more people who add it to their calendar will boost it on the event calendar homepage.
Optional information to included if applicable:
Include an email or phone number for inquiries.
Please note that you do not need to include details that are included in the event form, for example location, date, time, etc.
List any other important info, such as dress code, accessibility, refreshments that will be provided, prizes/giveaways, etc.
List names and titles, and include short bios if relevant. What will they bring to the event? Please note, ensure that the bios do not get placed ahead of important event details.
This can be added closer to the event. Provide a breakdown of the schedule if available (e.g., check-in, main session, breakout activities, etc.).
Things to avoid 🚫
- Including your office name at the top of your description. The first sentence or two should be reserved for your most important information that will draw the audience's attention. If you must include your office name, consider adding it as a footnote at the end of your description.
- Use excessive jargon or buzzwords. Too much industry-specific jargon, clichés or trendy phrases can make the description confusing or feel insincere. Stick to clear language that conveys excitement and relevance without overloading on empty buzzwords.
- Providing less information (or the exact same information) that is on other marketing materials. Your event page should be the hub of everything someone needs to know. So if you are driving people to your event page to learn more information, ensure they will learn more when they get there.

How to enhance your event description for the BGSU calendar
Including a cross promotion in the footer of your desription may not be the right fit for all events, but it's something we highly recommend you keep in mind.
Cross-promoting related events or resources is a great way to engage your audience with additional opportunities for involvement, enhancing their overall experience. This practice can also boost attendance for future events, as interested participants are more likely to explore and participate in offerings that align with their interests.
If you do not have something to cross-promote, consider crafting a single-sentence blurb about how your area supports the audience and direct them to your homepage to learn more.
