Room Change Request - Before Move-in
The room selection process doesn't have to end unless you want it to. If you ended up in a residence hall you aren't satisfied with, or you and your friend had to choose a room away from each other, you can add yourself to a building waitlist or submit a roommate request.
When choosing between putting yourself on a building waitlist or submitting a roommate request you need to ask yourself one question:
The answer to that question will guide your path if you’re trying to change rooms before arriving on campus in August.
Returning Student Room Change Timeline
Building waitlists and roommate requests will open at 9 a.m. on March 31 and close at 4:30 p.m. on Aug. 4. Our office will start granting requests on a rolling basis.
New & Transfer Student Room Change Timeline
Building waitlists and roommare requests will open at 9 a.m. on May 19. and close at 4:30 p.m. on Aug. 4. Our office will start granting requests on a rolling basis.
Step 1 | Add yourself to a building waitlist.
Adding yourself to a building waitlist can be done within your Housing Portal under “Manage My Housing”.
Building waitlists are based off of two things, the building and the room type.
For example: if would like to move into McDonald Hall you will pick either the McDonald Hall Double waitlist, the McDonald Hall Single waitlist or place yourself on both.
Step 2 | Make sure your contact information with the University is correct.
Putting yourself on a building waitlist means that our office will need to contact you if there is an open room when we get to your name on the waitlist.
Make sure you are able to answer our call:
- Update the phone number that you have on file. This is the one our office will call you on.
Make sure you have your voicemail set up.
If you have a voicemail make sure your voicemail box is not full. If we cannot leave you a message it will be harder for you to get a room change.
Step 3 | Housing team will work through each waitlist.
After the waitlist process opens our Housing team will work through all the building waitlists on a first-come-first-serve basis. If we reach your name on a building waitlist and we have a space available, our office will call you at the number you have on file with the University. If we have to leave a voicemail you will have until 8 a.m. the next business day to call us back and either accept or reject the open room.
It is important to know, if we do not hear from you we will move to the next person on the list and you will be moved to the bottom of the waitlist.
What if I joined a building waitlist and now I don’t want to move?
You can take yourself off a waitlist at any time. You can remove yourself from a waitlist through your Housing Portal under “Manage My Housing”. You will need to go to your waitlist and click “Remove”.
Roommate Request
If the person you live with is the most important thing, you both will want to submit either a roommate request or a room swap request.
Roommate requests are for students who want to live together either in the same building or in any building with an available double room. Below are the steps both you and your roommate need to complete in order to successfully submit a roommate request.
What you need to do before you submit your request:
- Have a conversation with your roommate. Before you submit a roommate request, talk to your roommate, make sure they still want to room together. Living with a person might be the most important thing to you but your roommate could think the building is the most important to them.
Get your roommate’s BGSU ID number. You both will need to input each other's BGSU ID number to complete your request.
Step 2 | Make sure your contact information with the university is correct.
Submitting a roommate request means that our office will need to contact you if there is an open room when we get to you and your roommate's name on the waitlist.
Make sure you are able to answer our call:
- Update the phone number that you have on file. This is the one our office will call you on.
Make sure you have your voicemail set up.
If you have a voicemail make sure your voicemail box is not full. If we cannot leave you a message it will be harder for you to get a room change.
Step 3 | Housing team will work through each roommate request.
After both student’s roommate requests are submitted our Housing team will work through all requests on a first-come-first-serve basis as fully open rooms become available through campus.
If we reach your roommate request, our office will do the following:
- Confirm that both roommates submitted a roommate request. If only one roommate submits a request we will call you and let you know that your request is pending until your roommate submits a roommate request.
Call both roommates to notify them of what room is available. Our office will call you at the number you have put on file with the university.
When our office calls you and your roommate, if we have to leave a voicemail you will have until 8 a.m. the next business day to call us back and either accept or reject the open room. Both roommates need to confirm that they want to move into the room that is being offered. If one or both roommates do not want to move into the available room our office will move on to the next roommate request and you and your roommate will be placed at the bottom of the list.
It is important to know, if we do not hear from you we will move to the next person on the list and you will be moved to the bottom of the waitlist.
Why do you both need to complete a request?
Having both you and your roommate submit a request confirms that you both actually want to room together. Just like when creating an RSG both people need to consent to possibly being assigned to a room together. Our Housing team will not process a roommate request if only one roommate has submitted a request. If we reach your name and your request is not complete, we will call you and notify you that our request is pending until both roommates have submitted a request.
What if I don’t want to live with my roommate anymore?
We understand that things might change over the summer, you can take yourself out of a roommate request at any time. Contact the Office of Student Housing and we will work with you to be removed from the roommate list.
Room swap requests are for students who want to swap rooms with someone. For example, if Dorothy and Sophia are roommates in room 1910 and Blanche and Rose are roommates in 1991, but Dorothy and Blanche would like to swap rooms, they would both need to complete a room swap request.
What you need to do before you submit your request:
- Have a conversation with the person you want to swap rooms with. Make sure they consent to swapping rooms with you. In order to process your room swap request both students need to submit a request, if only one completed the request it will remain pending and our office will not be able to process the room swap.
Exchange BGSU ID numbers. You both will need to input each other's BGSU ID number to complete your request.
Why do you both need to complete a request?
Having both you and the person you are swapping rooms submit a request confirms that you both actually want to move rooms. Both students need to consent to possibly being assigned to a different room then they selected. Our Housing team will not complete a room swap request if only one student has submitted a request.
What if I don’t want to swap rooms anymore?
We understand that things might change over the summer, you can take yourself out of a room swap request at any time. Contact the Office of Student Housing and we will work with you to be removed from the room swap list.
