Student Orgs. Booking - Student Union & Olscamp

Reserving Rooms in the Bowen-Thompson Student Union and Olscamp 101

All Registered Student Organizations (RSO’s) are encouraged to book meeting rooms in the Bowen-Thompson Student Union (BTSU) for use at no charge, so long as the use of the Meeting Room/Classroom meets all 3 criteria below:

  1. The Meeting Room/Classroom is scheduled by an authorized RSO representative

  2. The use of the room is planned, and the event is executed/led by the same RSO who booked it

  3. *Over 50% of the attendees are current BGSU Students, Faculty and/or Administrators.

*If the majority of the attendees do not meet criteria #3 for an RSO booking/event (it is the RSO’s obligation to prove this criteria), then appropriate University Sponsored/Department Rates for a given space will be charged.  A higher public rate may be charged if it is determined that a given space is actually an event being advertised and/or executed by a 3rd party.

Special Event Spaces (BTSU Multi-Purpose Room #228, BTSU Ballroom #202 A and/or B side, and Olscamp 101 A and/or B Side) carry a $20 per hour charge (Event Support Services/Utility charge). In the Multi-purpose Room, the first 4 hours of an event will not be charged this $20 p/hr fee, so long as the criteria above are met. Hourly rates in Special Event Spaces begins at the client access time (when the RSO wants access to the space) and concludes at the end of the event (1 free hour of tear down is permitted before additional hourly rates apply).   

The chart below shows the all-inclusive hourly rental rates of each space for an RSO Meeting/Event. Additional Fees for Special Services are noted below the chart.

Additional Fees for Special Services

  • Extended Building Access (Student Organization rate at $125 per hour)
  • Special Event Lighting Packages Available (Contact C&ES)
  • Hanging Ceiling Banners in Special Event Spaces ($35 per hour charge)
  • Extra Large Stage (exceeding eight sections; $20 per additional section)

Cancellation Fees: All late cancellations will be assessed a fee equal to 50% of the scheduled charge. Fees apply for any cancellations less than 48 hours in General Meeting Spaces, or less than thirty (30) days in Special Event Spaces (BTSU Ballroom and Multi-Purpose Room, and Olscamp 101).

Guest Parking: Arrangements for event parking can be made directly with BGSU Parking Services.
