Facility Rentals

The PFH is primarily utilized for scheduled weekday activity by physical education classes in the morning and early afternoon, intercollegiate athletics in the early to late afternoon, and intramural sports and sport clubs in the evening. These groups, along with other organizations, may also be scheduled on some weekends.

Terms and Conditions

Facility Reservations: All PFH reservations must be initiated with the completion of the Request Form located at the BGSU

Recreation and Wellness webpage link, http://www.bgsu.edu/offices/sa/recwell/.

Rental Contracts: An agreement between BGSU and a user group to provide facility access at an agreed upon rate, for

an agreed upon length and/or term. Rental contracts are not valid unless they have been signed, dated, submitted with

the required “Deposit” as stipulated in the contract language and a notification acknowledging such actions has been

communicated by PFH management.

Rental Periods: All rentals begin on the hour and include 50 minutes of activity time and 10 minutes of transition time built

into the end of each rental session. This is to provide time for “Renter A” to breakdown/clean-up and depart the facility and

“Renter B” time to set up and begin activity at the top of the hour. Groups are not permitted to enter the activity space prior

to the transition period and are held in the facility lobby until the facility clock reads 10 minutes before the hour. For rentals

consisting of multiple hour long events such as tournaments, expositions, job fairs or track meets, set-up and breakdown time, etc… will be adjusted accordingly in the rental contract following communication with the event sponsor.

Rental Deposits: At the time of signing a PFH Rental Contract a 20% deposit for all contracts with amounts over $200.00 must be submitted.

Event Operation Charges: Based on the size and length of the rental event additional charges may be included in the

contract to account for extra equipment, PFH facility staff, security and/or medical personnel and facility custodial supplies and additional energy/power usage beyond daily operational levels.

Payments: Rental contracts $200.00 and under require full payment with the submitted signed PFH Rental Contract. For longterm rental contracts payment for reserved space/time for the upcoming month is due in full 7 days prior to the 1st day of that given month. Failure to submit payment on time may result in cancellation of contract and forfeiture of initial rental deposit.

Cancellations: A signed contract may be canceled only by the original signee or a BGSU Recreation and Wellness designee.

Cancellations made prior to 30 days of any facility reservation result in 100% refund of rental deposit. Any cancellations made

29 days or fewer prior to the 1st scheduled event result in 100% forfeiture of rental deposit.

Contract Revisions: For rental contracts consisting of consecutive day usage of the entire Track and/or Turf Room, requests

to revise a reservation contract must be submitted in writing via email 14 days prior to scheduled event. All other requests

to revise a contract must be submitted 30 days prior to date of session in question for refund consideration by the PFH

Management. The Renter is responsible for all financial obligations in original contract if changes do not meet the guidelines

listed above.

Insurance: BGSU requires all non-BGSU users with a signed rental contract to have general liability insurance coverage in the

amount of $1,000,000/occurrence/person for bodily injury and property damage and to hold BGSU harmless from any and all

claims, demands or causes of action arising from the use of its facilities. It is also required that user groups also have coverage for sexual misconduct and molestation in the amount of $1,000,000 as well prior to facility usage.

I have read the rules and regulations listed above for the purpose of renting facility space at the BGSU Perry Field House. Upon signing a contract as the authorized representative of the event and/or group/organization sponsor, I agree to convey the information above in the rental rules for the Perry Field House agreement to all representatives of the contracted group:*
