PRIVACY RIGHTS OF STUDENTS

At the start of each exam week, classroom instructors should be reminded that grades may not be posted by student name, social security number, or BGSU ID Number in compliance with the Family Rights and Privacy Act of 1974.

No directory information is to be made available for those students who have officially requested non-release through the office of the Vice President for Student Affairs, Office of Student Life. Students who have officially requested non-release will also individually provide written notification to each of their instructors each semester.

Questions about distribution of class lists and student privacy issues should be directed to the Registrar.

When a student turns 18 years old or enters a postsecondary institution at any age, all rights afforded to you as a parent under FERPA transfer to the student ("eligible student"). However, FERPA provides ways in which a school may—but is not required to—share information from an eligible student’s education records with parents, without the student’s consent. For example:

  • Schools may disclose education records to parents if the student is claimed as a dependent for tax purposes.
  • Schools may disclose education records to parents if a health or safety emergency involves their son or daughter.
  • Schools may inform parents if the student, if he or she is under age 21, has violated any law or policy concerning the use or possession of alcohol or a controlled substance.
  • A school official may generally share with a parent information that is based on that official’s personal knowledge or observation of the student.

FERPA also permits a school to disclose personally identifiable information from education records of an "eligible student" (a student age 18 or older or enrolled in a postsecondary institution at any age) to his or her parents if the student is a "dependent student" as that term is defined in Section 152 of the Internal Revenue Code. Generally, if either parent has claimed the student as a dependent on the parent’s most recent income tax statement, the school may non- consensually disclose the student’s education records to both parents.

PROCEDURES FOR REPORTING TRIPS OFF CAMPUS

Current University policy on attendance places sole responsibility for establishing attendance policies with the individual faculty member. The College office no longer files the names of students participating in field trips nor provides any sanction or approval for such activities. 'Excused absences' for any student who misses a class due to participation in another faculty member's field trip is a matter left to the affected course instructor.

It is, however, essential for University units who are sponsoring off campus trips for students to report the names of participating students to the Risk Management Office, and Department Office and to purchase insurance for them at a nominal cost.
