Student Orgs. Booking - Union & Olscamp
Reserving Rooms in the Bowen-Thompson Student Union and Olscamp 101
All Registered Student Organizations (RSO’s) are encouraged to book meeting rooms in the Bowen-Thompson Student Union (BTSU) for use at no charge (as well as in available classrooms), so long as the use of the Meeting Room/Classroom meets all 3 criteria below:
The Meeting Room/Classroom is scheduled by an authorized RSO representative
The use of the room is planned, and the event is executed/led by the same RSO who booked it
*Over 50% of the attendees are current BGSU Students, Faculty and/or Administrators.
*If the majority of the attendees do not meet criteria #3 for an RSO booking/event (it is the RSO’s obligation to prove this criteria), then appropriate University Sponsored/Department Rates for a given space will be charged. A higher public rate may be charged if it is determined that a given space is actually an event being advertised and/or executed by a 3rd party.
Special Event Spaces (BTSU Multi-Purpose Room #228, BTSU Ballroom #202 A and/or B side, and Olscamp 101 A and/or B Side) carry a $20 per hour charge (Event Support Services/Utility charge). In the Multi-purpose Room, the first 4 hours of an event will not be charged this $20 p/hr fee, so long as the criteria above are met. Hourly rates in Special Event Spaces begins at the client access time (when the RSO wants access to the space) and concludes at the end of the event (1 free hour of tear down is permitted before additionally hourly rates apply).
The chart below shows the all-inclusive hourly rental rates of each space for an RSO Meeting/Event. Additional Fees for Special Services are noted below the chart.

Guest Parking (Pay Lot 7): Meter rates per vehicle are $1 per hour, up to $8 per day. Group rates available at $2 per car per day through Conference & Event Services.
Cancellation Fees: All late cancellations will be assessed a fee equal to 50% of the scheduled charge. Fees apply for any cancellations less than 48 hours in General Meeting Spaces, or less than thirty (30) days in Special Event Spaces (BTSU Ballroom and Multi-Purpose Room, and Olscamp 101).
Reserving Active Learning & General Classroom Spaces
Charges to reserve classroom space(s) will apply when Student Organizations are hosting any meeting or event that is open to the public and/or inviting guests outside of the University to attend. However, Student Organizations may book internal meetings or events in BGSU Classrooms at no charge when spaces are available.
When reserving a classroom space at no charge, no technical support is provided, unless dedicated staff is requested in advance. The cost of on-site support is $20 per hour (minimum 1 hour charge) and will be charged hourly for the duration of the time staffing is requested. To reserve a Classroom and/or schedule technology support staff for your meeting or event, please contact the Office of Conference & Event Services (C&ES) @ 419-372-9000. Student Organizations may also choose to schedule a free pre-training session on classroom technology (must be scheduled at least 1 week prior to your event), by contacting Information Technology Services (ITS) @ 419-372-9400. Emergency assistance to classrooms may take up to 30 minutes to respond and may result in additional service call fees.

Active Learning & General Classroom Spaces are provided as is. Additional equipment requests will carry a daily flat rate fee and must be ordered at least 1 week prior to the event to avoid service call fees. Click here for the daily rates.
