Collegiate Chorale
Collegiate Chorale Officer's Minutes
August 29, 2006
Meeting called to order: 10:11 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler
Josh Ludwig and Jodie Hutchinson arrived at 10:15 PM
Officer Reports:
Publicity: Ben announced his plans for polos to arrive in time for Music Discovery Day. In order to accomplish this, he must order the shirts at least one month in advance. The shirts will be white with the chorale logo. After talking with Dr. Skoog about possible requirements, he will present this idea to the Chorale (hopefully early next week). As far as prices, he is checking with Atonn and a couple companies. The big question will be: Does everyone have to buy one? To help answer this, Jami will mention the idea in meeting with Dr. Skoog.
Treasurer: Kurt reported that everyone needed on the bank account (Dr. Skoog, Jami, and Kurt) must go to the bank together to sign official papers. Kurt now has the petty cash in his possession, and Josh specified the amount in the current chorale purse: $1,895.89 in petty cash and $4,346.84 in OCI account. The grand total is $6,182.73.
Secretary: Matt is finishing the hotel list, and Jami suggested speaking directly to the events coordinator at each hotel. Matt also has the tour CDs in hand to give to the remainder of Chorale members, and he has compiled a possible song list for an upcoming CD. As a special side note, at this point Jami reminded all officers that if anyone desires to talk to the Chorale, Jami needs permission from Dr. Skoog.
Vice-President: Kurt requests 10 minutes for Constitution ratification on Thursday. Tonight, we create a clause that pending ratification, Jodie will become Historian as per officer's appointment powers. Note: for all interested parties, this is similar to Congress and the concept of piggybacking.
President: Tomorrow Jami has her first weekly meeting with Dr. Skoog, and these meetings are going to continue to take place either Wednesday before Chorale or Thursdays after Chorale. She requests a third pair of ears at each meeting for officer accountability, and there should be a different officer as often as possible. This week the third person is Kurt Vandock. Additionally, Jami issued a formal apology about the seemingly lack of communication regarding the proposed care package fundraiser. After e-mailing the Dean for final, direct confirmation, the Dean declined; however, by this time Jami was in Austria and communication was severely limited.
New Business:
Lock box. Speltz described the current lock box situation involving the lost key and lack of security. He requested the ability to purchase a new box. In response, Kurt moved to allocate up to $40 to Speltz for a new lock box, pending receipt and return of all change. Ben seconded, and the vote passed unanimously.
Wet Wednesday. Jami's first comment, seconded by all, was the Wet Wednesday should continue. The bake sale makes a good deal of money with very little output from the Chorale. The one stipulation is that all items should come with an accompanied recipe. Matt should send an e-mail to Linda about the upcoming bake sale once Jami receives approval from Dr. Skoog and the Dean. Each officer will have a turn to be in charge, with the responsibility of finding one faculty member per week. The goal is to begin September 13, and everyone needs to be ready next week for their assignments. Speltz is in charge of the Bursar sheets, and Josh is donating water. Thanks, Josh!
Other Fundraising. Ideas included quartets singing for Sweetest Day, caroling at the Zoo, the country club Christmas parties. Vandock announced two distinct possibilities of singing at the Fulton County Hospital and Kurt's Dad's Bank (both for large purses). Each officer is responsible for contacting at least two places in order to gather further ideas for fundraising. Ben is going to have Dr. Skoog forward his e-mails of request on to the Chorale. The officers discussed the idea of fundraisers being incentive-based, and we will discuss this further at a later date. As a side note from Speltz, each officer should leave Dr. Skoog's contact information with each possible fundraising site.
Spaghetti dinner. According to Speltz, the officers could pull this fundraiser together by themselves, if necessary. This dinner would be cheaper than a Renaissance feast, and we could sell more tickets. Speltz is going to obtain more information from his father this weekend, and then he is going to contact a local church for possibilities (preferably St. Mark's). The goal is to accomplish this dinner this fall, before Thanksgiving. A possible date could be October 29, with pre-sale tickets and buy-at-door stubs. The event could also possibly include a silent auction (with products/services) and entertainment (Chorale, obviously).
Social event. Both Jami and Kurt would like a Chorale cook-out, and the officers agree. Officers would provide the main dish (and pop and water?). The Chorale members would each bring a side dish to share, requiring a sign-up sheet. The party is to take place at Copper Beach (Jami's apartment), and a possible date is September 15. Dr. Skoog would like to be there, so this date is tentative and dependent upon director availability.
Web site. Ben and Jodie are going to collaborate on the web site. This will be discussed further next meeting.
Assignments:
Ben: Let Jami know about polo presentation information; inform Dr. Skoog about forwarding e-mails.
Speltz: Obtain lock box, information from dad, and Bursar sheets.
Matt: Finish hotel information; e-mail Linda about Wet Wednesday upon Jami's confirmation.
Kurt: Ratify Constitution.
Jami: Confirm Wet Wednesday.
Everyone: Call two places about fundraisers.
Meeting adjourned: 11:16 PM

Meeting called to order: 10:09 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Historian: Jodie has been working on the web site, and she is going to update officer biographies. This will require each officer sending her an individual bio, and if the bio does not include a picture, then we will take pictures at the next meeting with her camera. Additionally, there is more space for random pictures than originally thought, and on that note, she is going to search for convocation photos. Jodie would also like to begin tour video, as Jami has pointed out that there is much bus time to be filled. She would also like to include as many people as possible, and she and Ben will brainstorm (specifically on material that will avoid argumentation).
Publicity: Ben is furthering his dream of polos; he is presenting his idea to the Chorale on Thursday. After conversing with Chris Nicholson, he has discovered that the cost of each polo will be in the $teens, and more could be ordered in the future. He will be getting sizes on Thursday, and the money-handling will be decided later (with money up front from the Chorale). In addition, Ben has spoken to Dr. Skoog about forwarding singing invitations to the officers.
Treasurer: Kurt began with a quick check of the constitution, wondering at the possibility for an amendment dealing with spending of money. Vandock's response consisted of the idea of officer trust, as both the President and the Treasurer were elected. Still, officers should bring spending ideas before the remaining elected officials, and in the event of an "emergency", the only necessity is checking with Jami either at a meeting or via e-mail. Copies of receipts are required for record, and because Vandock is a blood-thirsty pirate who, in his own words, should be mistrusted. And following that note, Jami suggested that statement be stricken from the record, but Speltz continued his presentation by displaying the double-counted, rolled, organized lock box and current financial forms (petty cash and off-campus accounts). Each week he will have a copy of these records. As far as the impending spaghetti dinner, Kurt provided financial history of the one in which he had been involved. The first year made $1,320.25 (with $758 in pre-sold tickets and $584 in silent auction). In just five years, the profit was up to $6,000 plus, as this is a ready-made fundraiser. However, donating companies usually have to go through committees, and possible locations (churches) fill up quickly. Not to mention, Dr. Skoog will be gone the majority of weekends first semester; therefore, the suggestion is to be ready six months from now, during the second semester. Some new ideas include possible catering from pizza places and calling somewhere like Wendy's for dry goods. Additionally, there was a question about corporate sponsorship of tour, and the answer is that the University will not put others' information in programs. And also, Kurt informed the others that Dr. Skoog still has not set a date to meet at the bank and that Chorale's name is with President Ribeau's secretary.
Secretary: Matt gave Jami the list of tour cities, who gave them to Ben to beautify or the convocation board. Also, he has begun the process of talking to entertainment coordinators at the various Minneapolis hotels for discount/group information. The search is also on for Minneapolis activities, and Matt is contacting individuals from last year's tour in regards to CD pickup and payment. Additionally, he has spoken to his church about a near Valentine's Day concert event and to Kostumes, Ltd about a possible promotion with choral members and Halloween rentals.
Vice-President: Kurt responded that he had gone to Saddlemire and worked on the logo resolution, which is now up to 600 pix. He can print up to three on a sheet, if any pictures need to be printed; as far as convocation pictures, he can print any on Thursday morning. And as far as the constitution is concerned, he received a similar correction from two individuals (Alex Phan and Megan Welenc); after correcting the segment, he will submit the document to OCI and will e-mail a final copy to all the officers. OCI has a new procedure to report active status, just as a warning.
President: Jami presented information on the cook-out and mentioned how Dr. Skoog insists that he be there. Because of his schedule, the cook-out is now going to be immediately following retreat on October 6 at about 7:30. It will be in the CMA basement. Jodie suggested other possible events, and Jami suggested another Marshmallow War, which she could have ready by Monday. She also reported that the polos would indeed be mandatory and that she still needs a roster. In regards to possible Christmas fundraisers, contacts include the Fulton County Hospital and Kurt's dad's bank. And finally, there is no permission required for Wet Wednesday, since it is technically a repeat fundraiser.
New Business:
Wet Wednesday. Matt needs to make a sign-up sheet to go up Thursday, as it should begin next Wednesday. Kurt Vandock is going to meet with Josh Ludwig about donations, and a rotating list of officers is to begin with Jodie and continue up the chain of command. Each officer must find the specification for that week's dessert. Ben will make a sign for the table, and Speltz must obtain the Bursar sheet and have the cash box at the table by 9:30 on Wednesday.
Assignments:
Jodie: Update web site and begin video brainstorming.
Ben: Find polo information and possibly place order; make Wet Wednesday sign.
Speltz: Begin finding auction information for dinner; find Bursar sheet for Wet Wednesday.
Matt: Find Minneapolis hotel/activity information; make roster and Wet Wednesday sign-up sheet; help Ben with polo information and hand out tour CDs.
Vandock: Submit constitution to OCI and e-mail copies to officers.
Jami: Organize Marshmallow Wars.
All: Send Jodie individual bios and think about social ideas.

Collegiate Chorale Officer's Minutes
September 12, 2006
Meeting called to order: 10:09 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler, and Jodie Hutchinson; Atonn Smeltzer as guest
Officer Reports:
Publicity: Ben had nothing pertinent to report.
Historian: Jodie took the rest of the pictures and has completed the web site (except for final officer biography information). She mentioned positive gain on tour video brainstorming, and she announced the upcoming strudel from Dr. Rodgers (Wet Wednesday). In response, Jami noted that it was and would be nice to get e-mails regarding upcoming Wet Wednesdays.
Treasurer: Kurt announced that he had been approved for Bursar sheets, both for Wet Wednesday and for polo shirts. Jami requested photocopies of Bursar sheets (minus P00#'s), and Kurt mentioned his plan to already make copies, having learned from the Renaissance feast.
Vice-President: Kurt has everything ready for Wet Wednesday, and although he has turned in the revised Constitution to OCI, he hasn't heard anything back yet.
Secretary: Matt announced that polos are ready to be ordered, and Speltz requested an order of purchase. We are going to order an extra shirt for each size (5 extra), and this will be done after Ben checks with Tina for a possible logo clarification on the shirt.
President: Jami had nothing pertinent to report.
Old Business:
Cookout. The cookout/potluck is going to be held the night of retreat (October 6) after the rehearsal that will end about 8:30. The officers should provide hot dogs and buns, and the Chorale should sign up for potluck items.
Marshmallow Wars. After Kurt fired his gun in response to the topic shift, Jami noted that next time the sign up will last more than one day, as we will begin a Round 2 with the whole Chorale very soon.
Wet Wednesday. Ben is finishing the poster, and prices are going to be $.50 for snack foods and $1.00 for water. Speltz is gathering the lock box and an auction sheet (containing minimum raise, collecting time, etc.). Jami wants Chorale to take the initiative, and the time slots are going to shift to half-hour slots.
Fundraisers. Jami requests all officers to follow up on contacts.
New Business:
More fundraisers. Kurt Vandock is contacting the Toledo Zoo, as this would be an event to benefit service, publicity, and fundraising.
Cabinets. Jami explained that the three touring ensembles (A Cappella, Chorale, and Men's Chorus) had previously bought filing cabinets for the choral room for $300 each (a total of $900). Jami also reported that she was going to collect more facts on the matter. In response to the call for more information, Kurt Vandock moved to table conversation about cabinet money to next meeting. Matt seconded. Jami then moved to vote to table conversation and Jodie seconded. The vote was unanimously in favor.
Assignments:
Any individual tasks not completed after last week's meeting.

Collegiate Chorale Officer's Minutes
September 19, 2006
Meeting called to order: 10:09 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Publicity: Ben announced that the polos have been ordered, and then he handed out the Wet Wednesday signs. Ben has Doug baking this week, and he is soon receiving tour fill-in-the-blank posters from Meggan. He is most likely going to make another poster for the dorms regarding the September 30 concert, and this must be approved by Residence Life.
Historian: Jodie is waiting for web access from ITS, and Matt and Jodie are doing the board this weekend (Jami has the border, if needed). Jodie also has many tour video ideas, and she plans on beginning filming soon.
Treasurer: (presented by Jami): Kurt went to the treasurer meeting and discovered the University's new policy that no campus organization can have an off-campus account; we must follow this OCI protocol if we want to be an organization. Additionally, we are a non-tax organization, and therefore, any purchases must include and tax-exemption number.
Secretary: Matt has been informed of a new tour stop for Wednesday, and he is in the process of composing a reminder/greetings letter for tour stops. Matt is also attempting to talk with Speltz's family about hotel locations and suggestions before finalizing decision. He is also attempting to contact Chicago and is checking on final payment information for polos.
Vice-President: Kurt is planning games for the social event, and he is in conversation with Andrew.
Old Business:
Cabinets. Voting is still tabled, and tomorrow the meeting is scheduled to discuss protocol over the use of the cabinets and monetary divisions between the three choirs.
Marshmallow Wars. Jami will be checking Thursday about who is still in the current game; this will be accomplished via a sheet on the bulletin board.
Retreat. There is going to be a cookout signup sheet for potluck items, and the retreat is the Friday before fall break (just as a note).
New Business:
Wet Wednesday. Kurt, Jami, and Josh bought everything necessary for tomorrow, and Kurt Vandock is calling Speltz. Regardless, Atonn will be there. On a positive note, Jami is uber excited by participation; yay for Chorale! Additionally, there should be publicity signs for knowledge, with one specifically for Kelley Hall and the instrumental students. Also, Kurt Speltz is going to speak on financial importance in the upcoming weeks.
Sectional get-togethers. The sopranos had a successful party, and Jami thinks that we should all try something like that. The events should be completely social, with gathering times possibly moving toward sectional times later. At this comment, Jami became excited and ran to show the other officers her tea cups; meanwhile, Kurt made the observation that cats will drink more milk out of a saucer than a bowl and Ben commented that his cat once got its head stuck in a cup. When the excitement subsided, the overall decision was that we should attempt to organize said events and possibly work toward cross-sectional gatherings.
Fundraising. Jami is corresponding with Elaine about fundraising; there is the possibility of Outback catering for an event "Corral with Chorale". This could include karaoke, 50/50 raffles, and other forms of entertainment. There is also the possibility of a combined Chorale/A Cappella fundraiser if so desired.
Sick bay concerns. Dr. Skoog has the right idea, but the Chorale this year is of a different make-up. People are feeling pressured, but they also do not want to get sick from others. However, all sick bay members should be just as active as regularly-participating members.

Meeting called to order: 10:11 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Publicity: Dr. Trantham is providing the bake sale item for Wet Wednesday; the cookies will be there by 9:30 AM. Ben asked a question about posters, and Jami responded with the story that Meggan Conti related to her. Hopefully, Meggan will bring the posters to studio soon. As far as the immediate need for posters, because this upcoming September 30th concert is actually the Philharmonia's, we cannot publicize as our performance. Ben also questioned which concerts are officially ours, and the officers also wondered at the Holocaust Remembrance Day.
Historian: Jodie needs the revised Constitution, and Kurt Vandock is taking care of it. She is still thinking on tour video ideas, and she wants to compile a complete list of ideas by next week. The board is done, and it looks pretty good.
Treasurer: There was nothing to report.
Secretary: The polos are ordered, with the invoice being sent to the Chorale. The board, as mentioned, is finished, and Matt too has a performance opportunity on December 10 for an octet (and we need to discuss performance fee). Matt has also been in touch with Chicago, and is speaking with Speltz's family regarding locations for hotels. Also, the final two tour stops have been confirmed.
Vice-President: Kurt has secured one fundraising performance/volunteer gig at the Fulton County Health Center on December 21st or 23rd for $300 each day. At this performance, to be divided into three sessions, the quartet will be singing carols. He is also e-mailing Jodie the constitution and compiling retreat games. Also, regarding retreat, members must stay until the regulated hour (with officers making early preparations).
Old Business:
Cabinets. Jami and Kurt had a meeting with Atonn and Dr. Skoog, and they received the billing invoice from Ellen. We actually bought one cabinet and received a monetary deal. And although there are no records in any minutes, Jami got the facts and got the receipt; a protocol has also been established that Chorale can use the slots. The Presidents of each chorus must discuss protocol, and the other choirs must share the cost with Chorale. Jami moved to bring the matter of payment before the Chorale for a vote (four yes and one abstention). This vote will occur nine days from now (Thursday October 5), and Jami will explain the protocol to the general membership (as Dr. Skoog is at that time a member without a vote). Kurt is afraid it will get voted down, and that is why be abstained; however, we must set the precedent of bringing issues to the Chorale.
Sick Bay policy. There has been a change in policy, with full credit given for full participation with no half-credit policy. Dr. Skoog will be watching from the podium to see if something is not right (like someone sleeping, doing homework, scratching his backside...), and Dr. Skoog has the right to question.
New Business:
Wet Wednesday. There is still a need to fill some hours this week, but the supplies are ready to go. Kurt Vandock is opening the table, and Speltz is bringing the cashbox.
Sectional get-togethers. The altos are having a dessert party on Saturday at 1:00 PM at Jami's residence. Meanwhile, the tenors are meeting for lunch at Pollyeyes at noon, and then they are going to play football.
Cook-in sign-ups. Potluck is the best format for an event like this, as everyone should bring something (example of eight-pack of hot dogs). Jami will make a couple more vocal reminders about food in addition to the sign-up sheet, and as mentioned, Kurt is developing a game schedule. As Vandock says, "There's nothing like wieners and desserts to make you feel good after singing."
Second semester roster. Jodie is sending an e-mail to see what members are not returning second semester. This e-mail will also include information regarding attending tour.
Assignments:
Jodie: Send semester e-mail and compile idea list.
Kurt Vandock: E-mail Constitution and finish games.
Matt: Continue tour detailing.

Meeting called to order: 10:11 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Publicity: Josh Ludwig is getting the poster signs from Meggan Conti this evening; Ben will be keeping some in his possession for emergency publicity needs. Also, polo shirts should be here very soon.
Historian: Jodie is collecting sectional pictures to put on the web site, and she is also adding the past tour photos from the September bulletin board. She has a small list of tour video ideas (and she presented that list), and she desires the officers to e-mail availabilities to begin shooting film.
Treasurer: Kurt asked a question of a location of invoice for the polo shirts. Matt responded that he would double check with SPP, but that Dave (the manager) told him that the invoice would go to the Chorale via the CMA.
Secretary: There was nothing new or pertinent to report.
Vice-President: After congratulating other officers on quick and efficient reports, Kurt confirmed the fundraising performance/volunteer gig at the Fulton County Health Center on December 21st or 23rd for $300 once, or an unspecified amount of additional money if there were multiple performances. These performances can occur anytime after December 15, and Kurt will head up organization personally. Additionally, Kurt has contacted the Toledo Zoo, who would be able to compensate collegiate singers (quartets) $50. Kurt suggesting drawing up a loose contract (a.k.a. volunteer) of a possibility of $50 per performance. The officers agreed he should look into this possibility further.
Old Business:
Cabinets. There will be time at the end of Thursday's class to bring the cabinet issue to the general membership. Jami shall bring the matter to the floor, with discussion and a vote (via secret ballot) to follow. The possible voting options will be yes, no, and abstention (with an abstention not being counted as part of the majority). Kurt will create ballot cards specific to this event, and Jami will act as commentator while Matt acts as a third mediator if necessary. Then, following discussion on OCI voting procedure, Jami made the following motion: "Be it known that in all matters of financial regard in excess of $50, a required vote of two-thirds majority by the membership shall be necessary for such allocation to be approved." The officers voted five yes, with one abstention. Jami next established a hypothetical scenario in which the Chorale voted yes and the possibility that we may not be able to pay. According to an officer in A Cappella Choir, who gave the same receipt to OCI, Clint Stevens and OCI both said that they would not allow the purchase through on-campus funding. In this case, both Kurt Vandock and Kurt Speltz would speak with Mr. Stevens.
Fundraisers. Chorale members will need caroling books if that is going to be a source of funding in the near future. Ben shall be in charge of discussing the possibility of borrowing caroling books from the music library soon after Fall Break; there should also be an assignment system regarding returns and acceptable conditions.
Cookout. Jami has sent an overall pleasant e-mail to remind people about food for the retreat. If necessary, another e-mail will be sent. On a side note, the officers are waiting until Thursday to sign up, after the sheet is passed through the Chorale.
New Business:
Wet Wednesday. Kurt Vandock is baking this week, and he has everything else ready to go.
Dean Kennel meeting. Jami and Matt have scheduled a meeting with the Dean regarding finances and tour proposal; at this time it needs to be rescheduled. However, at the meeting, they will present the tour and ask for a financial gift. The use of Powerpoint will be included, as this meeting is very important (we are asking for $2000). Kurt Speltz needs to send Jami last year's budget, and she needs pictures from Jodie. Ben should send her the logo, and on a side note, Matt should e-mail fundraising ideas to Dr. Skoog. Additionally, Speltz should talk to Dr. Skoog about the $2000 related to the Alumni Association. Hopefully, by next meeting, Jami will be able to present the personal letter and slide show.
Next meeting. Next week's meeting will occur on Tuesday, October 10, at 5:30 PM. The location is Pollyeyes, and dinner will add to the meeting.
Assignments:
Jodie: Send Jami pictures.
Ben: Send Jami logo; investigate caroling books.
Kurt Speltz: Send Jami budget; talk to Dr. Skoog about $2000.
Kurt Vandock: Finish retreat games; contact Toledo Zoo.
Matt: Continue tour detailing; send fundraising e-mail; check on polos.
Jami: Develop presentation.
All: E-mail Jodie availability schedules for tour video.

Collegiate Chorale General Membership Meeting
October 5, 2006
Topic: Cabinet purchase
Meeting called to order: 3:40 PM
Jami Haswell introduced the cabinet addition to the Choral Room and explained the $900 purchase. As of this moment, the finances are coming out of the Choral Activities budget, and the choruses (Men's Chorus, Collegiate Chorale, and A Cappella) are being asked to split the cost. She explained that due to organization regulations, this had to be brought up to the general membership, with the necessity of a two-thirds majority vote to pass. (Refer to 10/03 minutes, and the passed motion of "Be it known that in all matters of financial regard in excess of $50, a required vote of two-thirds majority by the membership shall be necessary for such allocation to be approved.") She then opened the floor to discussion.
Mike Click asked about the possibility of splitting the cost four ways with the Choral Activities. Dr. Skoog responded that Women's Chorus has been asked to participate, as the budget for Choral Activities is already overspent.
Josh Jones then asked what would happen if Women's Chorus said no, and he also wondered why that particular chorus had that option. Jami responded that Women's Chorus was not an official organization at that time, so there is no organization burden on their part.
John Carmack asked if we should friendly amend the motion. Jami responded that this possibility would follow in the next officer's meeting.
Jodie Hutchinson asked about protocol ( or use of the cabinets). Jami responded that all choruses helping to pay would be able to utilize the cabinets for organizational purposes.
Megan Welenc wondered what would occur if Chorale voted the motion down. Jami replied that Chorale would not pay, but we would also not use the aforementioned cabinets.
Andrew Schultz then commented that essentially we were asking Women's Chorus to pay for something they wouldn't use. In response, Jami referred to protocol and other information would be decided in a following meeting.
John Carmack then asked about how much Chorale would use the cabinets. Amanda Lovitt responded that the cabinets would be a huge help to her and other librarians.
Someone [I apologize for not catching the name] then asked Kurt Speltz about budget, and he responded that Chorale currently has $5500 in the bank, with tour budget to be around $13,000.
Andy Kuzas questioned the date the cabinets arrived, as he thought they were here last year. Jami responded that they arrived in the spring, and Dr. Skoog added that the officers of the organizations are trying to handle business put off from last year.
Mike Click then asked for the reasoning for a need for both cabinets. Dr. Skoog replied that the numbers in the larger choruses dictated the need for two cabinets; although Chorale would only need one, like the one donated by the bands, the issue is fairness; that is why all four ensembles are now being asked to help pay.
Kurt Vandock then closed questioning for the sake of time. He explained that a vote for yes would be a vote to purchase the cabinets; a vote for no would be the opposite. An abstention would take the particular vote out of the majority, and Kurt reminded everyone that a two-thirds majority is needed to pass.
Guy Batterson concluded questioning by asking that the voting results be posted afterwards.
Voting then commenced at 3:50 PM.
Voting results:
Of 36 counted ballots, 22 yes and 14 no (with 1 abstention).
22 of 36 equates to 61%. Without two-thirds majority, the motion fails.
Main
Collegiate Chorale Officer's Minutes
October 10, 2006
Meeting called to order: 5:30 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler, and Jodie Hutchinson; Atonn Smeltzer present
Officer Reports:
Publicity: Ben e-mailed questions, but they did not go through due to the weekend power outage. He also looked for caroling books with no luck, but Matt has a copy just in case.
Historian: Jodie has the web site updates completed, and those include pictures, the Constitution, an area for minutes, and the bulletin board. There is also going to be a counter of visitors on the page, and Jodie wants to begin filming tour video. As a side note, Jami and Jodie just realized that they have the exact same initials.
Treasurer: Kurt asked if it might be a good idea to look into SBC funding for Fall of '07; we would need to sign up in January for next fall. Dr. Skoog was hesitant last year, but that was before the Bursar issue came to light. We should consider looking into it, so we will ask Dr. Skoog. Additionally, Kurt received the shirt invoice, and he is selling for Wet Wednesday. As the information sheet for Vandock's cookies included funny notes and $50 was sold, Speltz is making 'special brownies' because of love.
Secretary: Matt needs to finish handing out polo shirts, and he is e-mailing Dr. Skoog the fundraising ideas. He is also going to share the information letter (tour) with Jami once completed.
Vice-President: Kurt sent an e-mail to the Toledo Zoo, and he noted that things went well with the retreat. Since his polo question had already been answered, he noted that the cabinet vote had been a decisive no (even if the other three members had been there to vote).
President: Jami thanked the officers for their flexibility with retreat, and she especially thanked Matt for specifying names in his e-mail. Although games had been prepared, the mingling was nice; the next event could be a board game night.
New Business:
Jodie Web-site Idea. Jodie would like to put the minutes on the web site, along with sending the information to the officers and placing it on the board. The officers agree with this plan.
Voting. We will consider a motion to reconsider the cabinet vote after an investigation involving OCI [at this point the cabinets are coming out of Choral Activities instead of possible music]. The motion is a two-step process, with the first motion to reconsider and the second to call for a new vote. The first motion from Jami reads: I hereby move to reconsider discussion and possible revote regarding the motion finalized on Thursday, October 5, 2006. The motion was then tabled pending any investigation by OCI. Kurt Vandock commented that it is absolutely preposterous to recast a vote because this does not seem like a trustworthy action. Both he and Kurt Speltz are meeting with Clint Stephens, and then they are meeting with the school.
Fundraising. The Dean presented an idea for a fundraising meeting, and we must do all we can to raise money independently. ASSIGNMENT: Everyone develop one fundraising idea for outside of the CMA by the next meeting.
Music for caroling. We need copies of the SATB carols, even if they are not from the BG caroling books. We should have three or four pieces (at least) by Monday, and Ben should keep Jami posted.
Meeting adjourned (with motion from Vandock and second by Jodie): 6:15 PM

Collegiate Chorale Officer's Minutes
October 17, 2006
Meeting called to order: 10:12 PM
Officers present: Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Publicity: Ben reported that the Christmas caroling books could not be found. However, Matt made a photocopy of one he did have. Ben is going to take it to Kinko's to be put into a nice format. He is not sure of the amount he will need to be allotted for this. Kurt reported that Jami wanted one copy for every member of Chorale for practice, and then 8 bound books would be sufficient and given out to members when they have a gig. Kurt Speltz requests Ben just give him a receipt and he can pay him out of petty cash.
Historian: Updated the Chorale web site to include the Constitution and the By-Laws. Jodie has two grammatical errors in the By-Laws to submit to Kurt Vandock. She is also working on putting all of the minutes and all of the pictures on the web site. She will collaborate with Matt for the Chorale board for November sometime next week. She is going through the picture albums Ben had found and wanted to know if there was a place to put them. Right now, there is none, so Kurt Vandock suggested putting them back where they were found, and Ben suggested bringing them out at social events. Jodie also reported that a Chorale alumnus, Carolyn Dobrinich, is working at a school in Chicago and wanted to see if she could be included in a tour stop this May. Matt is going to bring this up to Dr. Skoog.
Treasurer: Nothing to report at this time.
Secretary: Matt has fudge for tomorrow's Wet Wednesday, and he has the carols for Ben. And as promised, he will look into the Chorale high school possibility.
Vice-President: The Toledo Zoo is highly unresponsive, but a date has been set for our first gig. The FCHC employee luncheon (and for patients) is December 15 in the afternoon, and a quartet or octet is needed. Kurt Vandock is organizing this event, and the 18th would also work for a smaller donation; we could always do both. On another note, Kurt was going to speak to Clint Stephens on Monday, but Dr. Skoog had already spoken to Clint. The Men's Chorus agreed to pay if other choruses would pay, so now we look like the "bad guy." However, Dr. Skoog made a comment of integrity, and we should stand our ground. Additionally, there is the possibility of a grant from Dean Whipple, and the Wet Wednesday sign-up sheet will be passed around every Tuesday.
Old Business:
Fundraising Ideas. Since Jami has a migraine, Kurt is going to present both his and Jami's ideas as a set. Their idea is an Easter Egg hunt for local churches, and Speltz is changing the format for the spaghetti dinner to somewhere outside the Bowling Green area (after confusing faux pa and fu-pa). Ben proposed a lock-in type event with some activity (possibly a mock jail), and Jodie suggested an American Idol Event - CMA style. (Kurt Vandock then explained Dean Kennel's history with prizes and fundraisers.) Matt reiterated his church as a possibility (for a spaghetti dinner), and he explained the possibility of utilizing the Max and Erma's in Perrysburg.
New Business:
Wet Wednesday. Jami has Ellen Dalton baking next week, and then the rotation will start over with Jodie.
Max and Erma's Fundraiser. Matt needs to contact the restaurant and find a date that will work at the end of November. Publicity should then be ready two weeks out, and we market for numbers (either for Perrysburg or Maumee). Matt will also check on times. This could possibly be the officer's social.
Class conduct. In class, we need to keep an eye on people having conversations during rehearsals; we should be kind but should also keep people from getting out of hand. And Kurt's side note: Kudos on the performances.
Assignments:
Jodie:
Ben: Assemble caroling books.
Kurt Speltz:
Kurt Vandock:
Matt: Contact Max and Erma's.

Collegiate Chorale Officer's Minutes
October 24, 2006
Meeting called to order: 10:10 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Publicity: Ben will have the caroling books by the end of the week (Thursday, if possible), as he is scanning them tonight. He will number and keep the books for next year and years to come.
Historian: The web site has been updated again, and she will also be adding photos from the get-togethers. She is currently scripting tour video and wants to start filming next week. Jodie and Matt will be doing the board after Halloween.
Treasurer: Kurt filled out the polo request-for-purchase in-voice, and he will deliver the check personally. He will also take care of check/cash versus Bursar information after he receives the Bursar information.
Secretary: The new Wet Wednesday forms are done, and Matt has applied for the Max and Erma's Fundraiser. He needs to e-mail this idea to Dr. Skoog, and he had a question about the December 10 gig (how much money requested). He will also take care of costuming for November 12.
Vice-President: Kurt announced that we have a spring gig at the hospital for $400, and he thanked the other officers for last week's meeting. Remember, two weeks from now we strike with the coup; bring your marshmallow guns.
Old Business (after Kurt's nonsensical comment):
Max and Erma's. This fundraiser has been covered; we are now in holding position.
Class conduct. We have already done some good stuff to keep talking during rehearsal to a minimum.
New Business:
Wet Wednesday. Jami has Ellen Dalton baking this week, and everyone must remember that the rotation will start over with Jodie.
Fundraisers. Everyone needs to e-mail their gig opportunities to Jami. The November 12 performance (4:30-6:30) will include a provided dinner, but the gig includes caroling costumes (and should be for non-officers). The December 2 (Saturday morning) octet gig will last from 10:45-12:15 at the Stone Ridge Golf Club parade of homes presented by the BG Women's Association. The December 15 gig for $250-$300 will be from 11:00-1:30, and December 10 is for a sextet or octet. We should stress the professional aspect, and Jami and Kurt will provide instruction.
Assignments:

Collegiate Chorale Officer's Minutes
October 31, 2006
Meeting called to order: 9:54 PM
Officers present: Jami Haswell, Kurt Vandock, Kurt Speltz, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Historian: The Chorale web site has not been updated with the following: Tour 2006 photos and program, sectional social photos and cookout photos, and all of the current minutes. Matt and Jodie are changing the Chorale Board for November tomorrow evening. Jodie mentioned she would really like it if all Chorale officers were to bring two tour video ideas to the next meeting.
Publicity: Chorale members received the caroling books, those who were going on the upcoming gigs and a few who wanted to prepare for future gigs. Ben requested that we make a list available to members of Chorale that shows what gig people signed up for and the times. Jami will do that by the end of the week.
Treasurer: Went back over his records and the last count before the lockbox incident was $135.00 with Wet Wednesday sales last week. Kurt now has the lockbox safely in his apartment.
Secretary: He has sent the rest of the fundraising information to Dr. Skoog for the Dean's approval, and Max and Erma's will be getting back to Matt in the next three days with a yay or nay response. He has now gotten Jodie all the needed information for the web site, and he is waiting for the interpretation responses and other things to print for the Chorale board. Jami should now have the December 10 information (on which he will double check everything), and Matt wanted to know if Kurt Speltz paid back Yee Von $4.00. Kurt responded that he will take care of that ASAP. Matt also wanted to add on a personal note, that we should all go and see Godspell this weekend. He knows the opera is going on, but Godspell is totally awesome. Just ask Matt for more information.
Vice-President: Dr. Skoog sent Kurt a contact from the College of Business, but the woman he spoke with actually wanted a men's barbershop quartet. Kurt said the woman told him it was for a bunch of ladies, so they would like a bunch of guys to perform, and Jami interjected with a "wouldn't they." Kurt forwarded this contact onto Joey Schnell for the Men's Chorus. At this point, we have plenty of gigs for Chorale. The Tenors and Basses would like another get-together, which will be determined at another date. Jodie and Kurt Speltz discussed a post-party for the November 17 concert at a restaurant (possibly Pollyeyes), and Jami decided to table the discussion for a later date.
Old Business:
Cash box. Jami let us know that Atonn Smeltzer and Kurt Vandock opened the Wet Wednesday table last week, and Atonn went into the Choral Library to retrieve the lockbox, and when he lifted it up, he noticed the lock was broken and no money was in it except for the coins. Approximately $130-$140 was stolen. This might have been done by a person who knew our routine with the Wet Wednesday table. The police were contacted by Atonn and Kurt Vandock before discussion began with Jami and Kurt Speltz. The police asked for a list of people who had keys to the Choral Office doors and all keys in the College of Musical Arts that can open those doors. At this point they were showed where the lockbox was kept and they noticed that the Men's Chorus lockbox was also broken into. The police took the Men's Chorus lockbox for fingerprinting. The police said that we should be comforted to know that all items that have been stolen from the College of Musical Arts have been recovered, but Jami pointed out that those items were not cold, hard cash. The police will be contacting us in regards to the report filed. There is a now a change in policy -- nothing will be kept in the Choral Office anymore. Ben asked if there is any place in the College of Musical Arts to keep our items. Kurt Speltz brought up that he thought it would be safe the keep the lockbox in the Choral Library and it was also for convenience, but he will take it home and back every Wednesday.
New Business:
Caroling Gigs. Ben thought it would be a good idea for Jami to inform members of Chorale of guidelines and rules for the gigs, and Jami will be presenting them to the members attending these gigs on Monday.
Wet Wednesday. Jodie is providing the silent auction baked good this week, and it is a pumpkin pie with her father's recipe.
Caroling Gig Payment. Jami requested that for the November 12 gig (in which we are receiving $100), that the woman mail Jami the check. Jami stated that this will be the standard from now on for all payments of gigs.
Assignments:
Jodie: Tour video
Ben: N/A
Kurt Speltz: Next week bake sale silent auction item
Matt: Send out e-mail to Dr. Skoog a list of the gigs for quartets/octets no later than Thursday
Kurt Vandock: N/A
Jami: Guidelines and rules meeting with members of Chorale on Monday
All: Bring at least two tour video ideas for Jodie for next week's meeting

November 7, 2006
Meeting called to order: 10:04 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Historian: Jodie has receipts for the website renewal and internet pictures; she is also starting tour video, with scripting and brainstorming on Friday.
Publicity: Ben has nothing too pertinent to report. He is waiting for the Max and Erma’s information, and he reported that chorale members have signed out caroling books for the first two performances. On a side note, Jami is continuing to get gigs.
Treasurer: Speltz also has little to report, except for the fact that he is meeting Shirley Mercer at the Wet Wednesday table.
Secretary: Matt is waiting on a date confirmation for Max and Erma’s, and he has the six caroling costumes for November 12. He is once again checking the baseball schedules and regulations, and he is going to further check into the Carolyn tour possibility.
Vice-President: Kurt has the group for November 12 ready to go, and they are having a rehearsal before the performance. Kurt also contacted the lady from Stone Ridge and set up the route of five homes (including Virginia Mark’s) and the clubhouse. They are now paying $200, and they are sending a map of the newly established route. There is also the possibility of another gig on December 8 (through a Dr. Stegman contact), and Kurt wanted to note the enjoyable presence of his kitty friend and his inability to go through with the coup.
New Business:
Caroling Gigs. Once again, Jami would like all officers to stress the needed level of professionalism and subsequent dress code specific for each performance.
Wet Wednesday. After the officer rotation is complete, the last two weeks of the semester should be divided between the officers, with three officers baking each week. We are also going to sell $5 punch cards via bursar before the bursaring ability ceases; these punch cards should be ready by next Wednesday. Also, we are thinking of ways (possibly tour cost) to thank Josh Ludwig for his weekly generous donations.
Baseball song. If anyone has a four-part (barbershop) arrangement of “Take Me Out to the Ball Game,” a copy would be very beneficial.
Assignments:
Jodie: Tour video scripts
Ben: Wet Wednesday punch cards
Matt: Finalize Max and Erma's; Wet Wednesday food
All: Find a copy of "Take Me Out to the Ball Game"

November 14, 2006
Meeting called to order: 10:13 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler, and Jodie Hutchinson
Officer Reports:
Historian: Jodie helped to recognize the concert conflict on Good Friday during the spring semester; someone must check this conflict with Dr. Skoog. Jodie is going to begin filming Saturday, and she is scheduling for further videotaping. She also wants pictures during Friday's dress rehearsal, and she brought up the possibility of repaying Matt Koehler for gas money. The officers decided to reimburse Matt $15.
Publicity: Ben will have punch cards next week. He has met with Atonn, and he is mapping out posters for the holiday concert.
Treasurer: Speltz also has little to report, except that he is waiting for Jami's check from the first holiday gig. He is also now going to reimburse Matt Koehler.
Secretary: Matt is waiting on a date confirmation for Max and Erma's, and he has a thank-you letter for Gary (the costumes). He would like to discuss the welcoming letter with Jami, and he asked about Wet Wednesday; Kurt Vandock is covering the fundraiser this week.
Vice-President: Kurt called Dr. Stegman's concert, and he passed around the December 10 sign-up sheet; a bass is still needed. The Wet Wednesday sheet is becoming mundane, and he might be sending out an e-mail. As far as the hospital gig, it can happen Thursday, December 14 and/or Friday, December 15 (11AM-1PM). Also, in actuality, Kurt's mom is taking care of Wet Wednesday.
New Business:
Service Project. Jami feels the organization should be doing stuff outside of the CMA; we could join the BG Serve Group. One opportunity is December 9th Adopt-A-Child breakfast with Santa. We would collect $1 from each Chorale member (if they choose), and anyone could go to the breakfast at 10AM. It is like a soup kitchen, and we could sing Christmas carols. The Chorale must vote as a membership, and Jami must e-mail Jessica by Friday. This would be a vote of confidence, and Kurt will send the e-mail. This would be a great advertisement both for us and the CMA.
Caroling Gigs. Kurt Vandock is spearheading the rest of the gigs; members should wear polos unless otherwise specified.
Assignments:
Kurt S: Reimburse Matt and bank check.
Jodie: Tour video scripts.
Ben: Wet Wednesday punch cards.
Matt: Finalize Max and Erma's; Wet Wednesday food.
Kurt V: Take vote for service project.

Meeting called to order: 10:10 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler and Jodie Hutchinson; Atonn Smeltzer and Jonathan Ledger also present
Officer Reports:
Historian: Jodie wants everybody to check their e-mail and respond to schedule possibilities for tour video. Schedules should include times through Christmas Eve. Additionally, she is going to do the Chorale Board hopefully Friday or Saturday.
Publicity: Ben has the punch cards and needs the paper cutter. He is also printing posters for Saturday's concert.
Treasurer: Speltz will have organized paperwork explaining current funds next week; as of now, Bursar is taken care of and all materials are to be in by Friday. After Friday, the Bursar program is officially over.
Secretary: Matt has the food for Wet Wednesday ready to go, and wanted to make sure that the sign-up sheet had been utilized. He has the letter here for Jami, and he wishes to push Max & Erma's. He told Kurt Speltz to reimburse Yee Von $4, and he has audition information for the White Sox.
Vice-President: Kurt announced that Speltz had no value (which is ironic after Vandock had just been kicked to the couch); following that joke, Kurt announced that in actuality, he is the master of gigs, having received another possibility at the Fulton Manor on the Friday of exams. He is asking for $250, and there is the chance this could be after finals week. This gig could/should have costumes. Furthermore, the December 2 gig is set, and the December 10 people are getting information on Monday. This upcoming sextet is short a bass, so Kurt is sending an e-mail. He is proud of the people, and he would like to issue a silent protest in regards to the rumors about missing water bottles. He states, "I am not a troll," to which he added that Atonn would collect the money on December 2nd.
Old Business:
Chicago Cubs. Covered.
Letter for Jami. Covered.
Punch Cards. If they do not sell, there will be no Wet Wednesday table next week. However, we have an obligation to any customers.
New Business:
Service Project. The Breakfast with Santa is set for Saturday, December 9th. Everyone in the room (preferably under ten people) is welcome to attend to eat and help serve the families; the food is catered through the Salvation Army, and the event happens at the Ice Arena at 10 AM. The organizational members will have a chance to take pictures and sing carols, and those who come should wear blank pants and polos. The Chorale is sponsoring a two-year-old boy and a six-year-old girl; we are getting gifts this weekend (because on a side note Jami is also dress shopping). Also, as an extra $10 is needed to finish shopping, there needs to be an officer vote for $10 to be removed from the Chorale fund. This vote was unanimously in favor of utilizing the $10.
December 10th Gig. Matt will help Kurt brief the participants next Monday.
January Presentation. There will soon be a presentation regarding finances for tour, with the inclusion of a reality check and incentives of fundraisers as reasons to lower the price. We should introduce an early deposit schedule ($25 by the end of January?), and we need to figure out a possible CD cost setback.
Assignments:
Kurt S: Finalize financial paperwork.
Jodie: Tour video scripts.
Ben: Print posters.
Matt: Continue tour preparation.
Kurt V: Obtain information on last gigs.
Jami: Announce the need for returned music and Max & Erma's.
All: E-mail Jodie schedules.

Collegiate Chorale Officer's Minutes
December 5, 2006
Meeting called to order: 10:03 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler and Jodie Hutchinson
Officer Reports:
Historian: Jodie finished the Chorale board, and is currently working on the website (with the hopefully soon arrival of clickable monthly boards). Tour video is in the process of being scripted, though she still needs emails from other officers. Carissa has already volunteered, and Jodie then reported that her report is finished.
Publicity: After somebody made a comment referring to himself as a Greek god, Ben questioned whether we should sell any more Wet Wednesday cards, now that we can continue to bursar (even though the bake sale portion is done). Jodie had pushed cards last week like a hustler, to which Jamie responded that she is a hustler.
Treasurer: Speltz announced the current balance at $6,460.34. There is still $600 to come from gigs, a $100 donation from Marti Rose (member of Matt’s congregation), a $2000 donation from the Deans, and the money made from Max and Ermas. Kurt is anxiously awaiting the financial posting.
Secretary: Matt is still waiting for a response from Max and Ermas, but he does know that the ballgame auditions will take place in choir on Thursday.
Vice-President: Kurt thanked those who emailed him their exam schedules. And as the Master of Gigs, he has asked Matt to spearhead the December 10 gig (including itinerary and any directions). The Thursday hospital time is not good, so a quartet can sing the Monday or Tuesday after finals. The Toledo Zoo was very thankful, and they are keeping us in their record for future contact information.
President: Jami reported that she and Jodie went shopping and spent $25 on each child. For Josie, they bought a baby doll with accessories, a Dora book, and Candyland. For James, they bought a Thomas (train) book, a puzzle, toy cars, and a hat and gloves. The total was $47, so they might need a few dollars reimbursed. The breakfast is Saturday at 10AM, but a few people are meeting at Tim Hortons prior for donuts (to which Vandock made a comment that he gets holes and everything on his; he then made a strange licking sound and Jami silenced him). As far as the rest of the information regarding the breakfast, we should wear polos, black pants, and sweaters. We may be serving as well as singing.
Old Business:
Christmas Music. Anyone finished with the packet of Christmas carols should return them to Ben; Ben should take care of this.
Wet Wednesday. The bake sale portion is officially canceled.
New Business:
Final Gigs. Matt and Kurt should finalize any preparations for these final Christmas quartets/small groups.
Tour Financial Information. The Wet Wednesday list is already signed (as a side note), and the Zoo singers are not paying a down payment. Additionally, Josh Ludwig is going for free, and more financial information is to come early in the next semester.
Assignments:
Kurt S: Finalize financial paperwork.
Jodie: Tour video scripts.
Ben: Obtain returned Christmas music.
Matt: Continue tour preparation:
Kurt V: Complete information on final gigs.
All: E-mail Jodie schedules and prepare for breakfast.

January 15, 2007
Meeting called to order: 6:02 PM
Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Ben Fidler and Jodie Hutchinson
Officer Reports:
Historian: Jodie revamped the website and has all the clickable boards finished. Final touches should be made on the website tomorrow, including tour information once that is sent. She has a sheet for “Cribz” sign-up, and she suggests an officer party to view funny footage and possible video clips. In addition, she notes that the sopranos had another social gathering, and as a side note, some people are not paying the $25 deposit for tour.
Publicity: Ben has nothing to report at this time.
Treasurer: Speltz also has nothing pertinent.
Secretary: Matt, too, has little to currently report.
Vice-President: Kurt informs the others that there were two abnormal clients that have yet to pay their dues for our Christmas gigs; we should expect compensation soon (maybe this week). The Zoo is on break; we are specifically waiting their response.
Old Business:
Wet Wednesday. We need a sign-up sheet this week, and we should push new and different sign-ups. Someone must be able to open the table (maybe Atonn), and Speltz must present the cashbox. Josh is once again graciously donating supplies.
New Business:
Fundraisers. There is question about the continued possibility/likelihood of a spaghetti dinner. However, a promising opportunity is another raffle for dinner with Dr. Skoog (as part of the Wet Wednesday table sales; $5 for 2 tickets or $3 individually). There is a possibility of a dinner/concert at Matt’s church in late March with Fazoli’s as the caterer; we could ask for small groups, quartets, or membership volunteers. We should definitely do Max and Erma’s again (second half of March), as this is a more carefree fundraiser after depleting our manpower with numerous holiday gigs. Other ideas include basket sales and some kind of faculty auction.
Tour. The officers need an updated itinerary by next week. Matt then discussed the itinerary in detail, further discussing the possibility of the Chorale fund providing money for some lunches and explaining how preliminary letters had been sent out. A merchandise conversation will continue later.
Polos. New members must pick up remaining polos this week or early next week.
Social event. Jami is setting up Marshmallow Wars, and a large group activity is in the works—most likely to correlate with retreat.

Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler and Jodie Hutchinson; Atonn Smeltzer also present
Officer Reports:
Historian: Jodie e-mailed all Chorale members about the completed web site. She has filmed half of the "Cribz" videos and is almost done scripting the Anchorman sketches; she needs costumes, however, to complete these scenes. Additionally, while finishing her report, Kurt Vandock commented that the board looks nice.
Publicity: Ben reported that there needs to be a sign-up for the new polos, with additional shirts to be ordered. For the new members, we can break into our reserves, but we should order new ones to replace (just in case). He is setting up a meeting with Tina Bunce about options for merchandise, and he will present tour posters next week (as he needs a more professional shot of the group).
Treasurer: Speltz announced those who have paid the initial $25 tour deposit: Austin, Carissa, Kylene, and Katie V (with those 6 additional exemptions). The remainder of the ensemble has until next Wednesday. He is also going to have an up-to-date budget presentation next meeting.
Secretary: Matt is in the process of completing the host packets for tour, as he and Jami have a meeting with Dr. Skoog on Thursday afternoon.
Vice-President: Kurt is kicking butt and taking names, especially in regards to holiday gigs. He called the Toledo Zoo, but the branch in question is out of the office until Monday. Similarly, he has been in consistent contact with the BG Women's Club, remaining simultaneously kind and persistent (as he is calling again tomorrow). He is also, now that he has the itinerary, completing routes from Mapquest. Finally, he displayed a math problem from earlier in the day, noting the ineptitude of the majority of Western collegiate civilization.
Old Business:
Key to the Back-40. The process has begun, thanks to Jami; Collegiate Chorale now officially owns space and wants to utilize this space for (Wet Wednesday) storage. As a side note, Jami and Megan Link are sharing this key.
New Business:
Tour. Jami and Matt met this past weekend to finalize tour details, and Matt is in the process of completing host packets for Skoogian perusal. Everything will be sent in a single package as soon as possible; next week, with the added posters and biographical information, the material will go to the printer. Next week everyone should come with their calendars, as we are to set up dates for stuffing parties and tour video parties. Everyone is to meet in Kobacker Lobby at 8:30 AM Saturday to go to the costume shop. Filming will occur late Saturday morning and early Saturday afternoon. We will need final scripts, the song, and DV tapes (Kurt will give to Jodie).
Fundraising. Wet Wednesday is still going on, and the concert at Matt's church is a definite possibility. Matt is to confirm the March 30 date, while Speltz is to call Fazoli's and confirm catering information. Meanwhile, Jami will ask Dr. Skoog about his availability and the Chorale's possibilities; she will also ask Dr. Skoog about dinner raffle idea. Finally, Matt is going to contact Max and Erma's about the check and a new date (either April 2 or April 5, preferable April 2).
Assignments:
Kurt S: Prepare budget; contact Fazoli's
Jodie: Tour video scripts
Ben: Obtain polo information; meet with Tina
Matt: Prepare for Skoog meeting; finalize tour; contact Max/Erma's; check on church finalities
Kurt V: Follow up on gig monies; Mapquest stops
Jami: Ask Dr. Skoog about March 30 dinner and dinner raffle
All: Bring calendars; tape on Saturday

Publicity: Ben has spoken with Tina, and we can put our logo on anything. Speltz is needed to assist in ideas for merchandise, and Ben will have new punch cards for Wet Wednesday. He also has Dr. Skoog's bio. As for tour posters, he has preliminary colors and the logo; however, Enoch is taking a new photo soon.
Treasurer: Speltz announced his findings from Findlay's Fazoli's: $4 per meal, with 24.50 per 8 servings (spaghetti). He also released budget information:

Total Projected Expenditures: $6,860.00
Secretary: Matt is still working on finalizing tour packets, and unless anyone has any questions, he will forego a detailed report.
Vice-President: Kurt has acquired a possible gig at Sauder's Village (for a Hospital Event) on April 3. It would be a contracted event, with under 30 minutes of singing, for $750.00. If this event comes through, Kurt will move to waive the deposit/tour dues for the officers. Additionally, Josh Ludwig and Kurt will be shopping for Wet Wednesday on Tuesday evening (will buy a lot and store). Furthermore, Kurt suggested reimbursement for ink cartridges; at this point, Jami moved to reimburse Matt. Vandock seconded and the vote was 5 yay, 1 abstention.
Old Business:
Yee Von financial information. There is to be a meeting in the near future.
New Business:
Tour Meeting. Jami and Matt met this past week with Dr. Skoog about tour packets. In this meeting, the packets were observed and reviewed. Matt and Jami have also decided upon two lunches for the Chorale members provided by the organization: Pizza Hut on Saturday and something in place of a school lunch on Tuesday.
Fundraising. We still need to take care of some outstanding gig payments. Matt and Kurt are continuing details on the Spaghetti dinner, while Jami clears the idea with Dr. Skoog. The officers also need the costume bill.

Collegiate Chorale Officer's Minutes
February 19, 2007
Meeting called to order: 3:32 PM
Officers present: Jami Haswell, Kurt Vandock, Kurt Speltz, Ben Fidler and Jodie Hutchinson; Atonn Smeltzer also present
Officer Reports:
Publicity: Ben started with the poster presentation, showing his mock up of the posters we will be sending out to our tour stops. He will get the cities on tour from Matt.
Historian: Again updated all current minutes in possession on the web site and did some reorganizing. Jodie asked the question concerning the dinner raffle with Dr. Skoog that was previously discussed at an earlier meeting, and Jami designated Kurt Vandock to check with Dr. Skoog about this, and if everything is set up, we will begin selling tickets for the raffle next week during Wet Wednesday. Jodie stated that she will go over the officer's schedules and figure out times to tape tour video. She pointed out that she has also started an alumni contact list with names, e-mail addresses, and current places of residence, and before the end of the year she would like to set up an alumni web page on the web site. The board will be up the week after Spring Break for March.
Secretary: Per a telephone conference call, Matt stated that the Thursday night concert on tour is requiring Chorale to pay $250 for use of their facility. Matt said that we are guaranteed to make back the $250 in sales. Jami then stated that she will talk to Dr. Skoog about this and she requested that Matt forward this information in an e-mail to her.
Projected Income:
Starting balance: $4,346.84
Various singing gigs: $700.00
Wet Wednesday: $600.00
Spaghetti Dinner: $1,000.00
Max and Erma's: $225.00
CD Sales from Tour '06: $1,800.00
Donation, Dean Kennell: $1,000.00-$2,000.00
Vice-President: Kurt Vandock said he wants to meet with Dr. Skoog to confirm that we need to finalize people's payments for tour or they will not be going. The people who have not paid their deposits yet are Amanda Lovitt, Chris Betz and Alex Phan. Friday is the last day to make the deposit.
President: The Wet Wednesday sign-up sheet has been hung up, and she will e-mail the Chorale urging people to sign up. Jami urged that posters and packets need to be sent out before Spring Break. Megan Link is in transit of not going on the A Cappella tour. Megan stated that Dr. Skoog told her she was exempt from paying the first deposit. As officers, we cannot justify her not paying on time. She will need to pay by Friday because everyone has the same deadline.
Old Business:
Fundraisers. Jami sent Dr. Skoog an e-mail regarding dates for the Fazoli's fundraiser, the hospital gig, and the Max and Erma's fundraiser. Dr. Skoog had no problems with any of the dates. For the Fazoli's dinner fundraiser we need to check the academic and CMA calendars to make sure no other events are going on. We would like to have at least 50% participation, but at minimum we really only need an octet. Jami designated Jodie to check the calendars to see if other events are happening on March 30. Kurt Speltz needs to contact Fazoli's and book them for that date - however, he may need to go through Matt Zwyer. Ben suggested making flyers for this fundraiser and Jami agreed, but she said to wait until Fazoli's is booked. Ben will eventually make publicity flyers and tickets.
Hospital gig. Kurt Vandock has secured the contact with Fulton County Hospital. The gig all depends on the Human Resources director and what he says. As far as payment from the Toledo Zoo gig is concerned, if the check isn't here by tomorrow they are considered null and void on their verbal contract and Kurt Vandock will go up there on Friday and make them pay. He'll get blood or he'll get money, hopefully both.
Wet Wednesday. Jami and Kurt Vandock will be going with Josh Ludwig to gather supplies tomorrow.

February 26, 2007
Meeting called to order: 3:35 PM
Officers present: Jami Haswell, Kurt Vandock, Kurt Speltz, Ben Fidler and Jodie Hutchinson; Becky McIntire present; Matt Zwyer arrived a little late
Officer Reports:
Historian: Jodie reported that she needs help cutting out decorations for March's Chorale board and it was suggested that this be done on the bus trip to Lima, Ohio tomorrow.
Publicity: Ben pulled up the new Chorale posted on his laptop, showing that he changed the background color to green. He has met with Tina Bunce and has incorporated her ideas onto the poster. He is meeting with her again tomorrow and Wednesday, and he is hoping to have the poster ready by Wednesday or the Tuesday after Spring Break. Jami prefers it not to be rushed, and for it to be completed after Spring Break. For payment of the printing of the posters, Kurt Speltz will need to find out if we can be billed or if we can just use the cashbox. Ben is to get an estimate from the place where they are being printed. Ben raised the question about making a T-shirt for tour, and Jami said it would be a good idea to do one for fun, but not to make it required. Our goal would be to have at least half of the Chorale to buy a T-shirt. It would not be something that would be required to wear on tour.
Treasurer: Kurt Speltz has all of the checks in to the Bursar so far, and he is just waiting for the Bursar's Office to cash them.
Secretary: Matt raised the question about envelopes for the tour packets. Jami said it would be a large manila envelope with labels, including a tour envelope with labels for the contracts to be sent back to us. Matt is almost done stuffing the envelopes, and suggested that Dr. Skoog just send his own personal letters later on. Jami gave Ben the job of sending a press release with the publicity information. Matt is to edit the cover letter to include only the material actually in the packets (no publicity information at this time). As far as booking hotels is concerned, Matt and Kurt Speltz will have a conference call with the hotels on the bus tomorrow. Kurt Speltz will need the fax number to the CMA main office and have them send information c/o Kurt Speltz/Collegiate Chorale.
Vice-President: The hospital octet gig has cancelled. As for the Toledo Zoo, Kurt Vandock will go up there in person to demand payment (Jami will look at penguins, and Kurt Vandock will chew someone's *** out); Max and Erma's, Matt will go up in person and demand payment.
President: Jami will be sending out an e-mail to the Chorale telling them to bring homework or something to do tomorrow, because as she understands it, there will be a lot of sitting around tomorrow
Old Business:
Wet Wednesday. The sign-up sheet is currently on the board. It will also be passed around the bus tomorrow.
New Business:
Confidential Survey. There will be a survey e-mailed out sometime in late March/early April by Jodie and Jami regarding what Chorale members would consider inappropriate or offensive as far as movies are concerned on tour. These surveys will be totally confidential.
Spaghetti Dinner. Matt contacted Fazoli's and booked them for March 30. Matt already started signing people up for the dinner. Jami thinks we should do reservation lists and have people pay in advance (as opposed to tickets). Kurt Speltz will make many copies of this list. Matt sent information and sign-up sheets to other churches in the area and the local high school. It is Bursarable. Ben will publicize around Bowling Green and Kurt Speltz will get this approved through the Bursar's Office. Matt reported that he has $250 worth of reservations so far. The sign-up sheet to volunteer to sing at this event will go around the bus tomorrow, and the officers are looking to get at least half of the Chorale to sign-up.

Treasurer: Speltz announced that we currently have $9,601.84 in the account, and Jami announced that discontinuing Wet Wednesday is a distinct possibility. We would have to advertise and exchange punch cards for CDs. The final date would be April 11, and Ben would be making posters for this event.
Secretary: Matt has all the tour information sent, and he is waiting for the hotel invoice. As of now, the White Sox have said no, but there is still a possibility. He will also be e-mailing information about Friday's concert.

Officer Reports:
Historian: Jodie will incorporate some web site updates, and she hopes to have the new board ready by Wednesday evening. For the tour video, she needs costumes (Ben's hat and Speltz's glasses). She wants to put the entire video together starting April 23. She also questioned as to whether and how we would do the survey (in order to actually make it anonymous).
Publicity: Ben has decided that there will be no tour T-shirts, because the already required polos will lead to fewer orders of T-shirts. However, he is looking into other possibly merchandise, even if only for next year.
Treasurer: Speltz has a preliminary report after the fundraising dinner. The Chorale made over $400 after figuring expenditures. He will have a more detailed report for the next meeting.
Secretary: Matt is waiting for the hotel invoice, and he is getting the remainder of the minutes for Jodie. He also plans to send a thank-you to the Chorale for the dinner participation, and he will have ink and mailing receipts soon.
Old Business:
Wet Wednesday. There should be two sign-up sheets out for the remaining two Wet Wednesdays. Punch cards can still be exchanged for CDs, and Jami is stocking up on final supplies.
New Business:
Friday's concert. There should be a table in the lobby following the concert in order to promote the Chorale and sell CDs. We will need the tri-fold board, a tablecloth, possibly some candy, and merchandise in the tub. The question is whether to sell refreshments, as this would require permission and such.
Tour group dinner. Kurt and Jami are going to take care of this group event scheduled for the Friday of tour.

Officers present: Jami Haswell, Kurt Vandock, Matt Zwyer, Kurt Speltz, Ben Fidler and Jodie Hutchinson; Atonn Smeltzer also present
Officer Reports:
Vice-President: Kurt Vandock chose a few restaurants for the free night in Minneapolis on tour. The choices are:
1) The Capital Grille -- Steakhouse, great for groups, need reservations, excellent menu, dinner at about $20.00 per person, great bar, excellent service (five star). Has a dress code of business casual (no jacket required). Cuisines include seafood and steakhouse. Web site: http://www.thecapitalgrille.com/Locations/Minneapolis/Main.asp?Location=Minneapolis
2) Gardens of Salonica -- A small, inexpensive Greek café is one of the Twin Cities’ most authentic ethnic restaurants. Would be about $10.00 per person. Cuisines include Mediterranean and Greek. Review on a web site: http://minneapolis.about.com/od/restuarantreviews/gr/GardensSalonica.htm
3) Al Vento -- Southern Italian cuisine and spirits brought to the table at the former home of Marimar. Cuisines include Italian. Would be about $20.00 per person. Web site: http://alventorestaurant.com/contact.htm
4) Signature Café -- Hidden away in Prospect Park, this friendly café boasts inspired bistro fare from chef/owner Nathalie Johnson. Will do a group reservation. Cuisines include Mediterranean. Would be about $10.00 per person. Web site: http://www.signaturecafe.net/index.cfm
5) Kafe 421 -- Eclectic, fun global dining spices up the Dinkytown scene. Cuisines include Easter European, Hamburgers, Eclectic and International, and Californian. Would be about $10.00 per person. Web site: http://www.kafe421.com/
Jami would like there to a vote amongst the officers by Tuesday through an e-mail sent to Kurt Vandock (kurtv@bgnet.bgsu.edu). Kurt Vandock wanted to point out that his choices were the Signature Café and The Capital Grille. We can then narrow it down to three options and then Wednesday in Chorale Kurt V can present the information on the three and then the people who had signed up for the dinner can vote. Jami pointed out that this is our only free night so many some people wanted to buy a more expensive dinner.
Publicity: Ben had nothing currently to report.
Historian: Jodie had nothing currently to report.
Treasurer: Treasurer: Kurt Speltz questioned the officer’s second deposit payment, and it was agreed upon that the officers would each pay $20.00 for the deposit. Kurt also pointed out that only a handful of people had not paid the second $25.00 but they were all talked to by the meeting.
Secretary: Matt had nothing currently to report.
Old Business:
None.
New Business:
Tour packets. Jami and Jodie have already talking together about the packets and Jami had sent out an e-mail to the Chorale asking for ideas or anything anyone wanted to contribute for the packets. 5-6 people had e-mailed her back with things or links. With all of those, her ideas, and Jodie’s ideas, the Chorale should have a fairly sizeable and fun packet for tour. Jami is going to buy folders this week and her and Jodie will assemble them this weekend.
Tour Snacks. Jami is going to be bringing snacks and drinks for tour. She also recommended that the officer contribute something like an 8-pack of water each as well.
Tour. Jami announced that Matt Young will be coming on tour with Chorale. He will be there to watch and run Dr. Skoog’s expensive sound equipment during concerts. He will also be playing some percussion for “Kalinda” and “Wana Baraka”. Dr. Skoog will also be talking to Chorale about members bringing solo pieces for tour to sing during intermission.
Tour Video. Jodie set up times this week to film with Kurt Speltz and Matt Zwyer. She will begin assembling tour video this weekend.
