Position Summary: The Student Administrative Assistant provides general services to the residence hall front desk, general services to the hall director for hall operations, assists in the opening and closing of the building, and maintaining effective communication regarding front desk issues with the Hall Director/Graduate Hall Director and between the Administrative Resident Assistants, Resident Assistants, and student desk staff.
The Student Administrative Assistant is encouraged to live in the complex they are employed or on campus. The Student Administrative Assistant spends up to 15 hours a week assisting the Hall Director/Graduate Hall Director in monitoring and maintaining front desk operations. The Student Administrative Assistant begins working up to 14 days prior to the official opening of the residence hall and stays up to 5 days after the official closing of the residence hall.
Reports to: Full Time Hall Director
Compensation: This position pays $8.25 per hour. Hours are not to exceed 15 hours a week and must be scheduled between 8am-5pm Monday through Friday. These 15 hours includes five hours where it is required to work the front desk.
Qualifications: Must have a 2.5 cumulative grade point average. This average must be maintained through the duration of employment. Must have familiarity with using Microsoft Office Word, Excel and other desktop publishing software. Current Resident Advisors are not eligible for this position.
Job Responsibilities:
1. To provide general services to the residence hall front desk.
- Handle telephone calls which require knowledge of desk and Residence Life policies.
- Assist in coordinating the disbursement of flyers and postings within the first floor and lobby areas.
- Communicate vending machine concerns to appropriate personnel.
- Work as a desk employee for five hours each week.
2. To provide general services to the hall director for hall operations.
- Assist Hall Director/Graduate Hall Director in scheduling meetings with students.
- Assist Hall Director/ Graduate Hall Director with administrative paperwork for discipline meetings that may include scanning and uploading documents.
- Assist Hall Director/ Graduate Hall Director with billing.
- Assist Hall Director with ordering supplies.
- Assist Hall Director/Graduate Hall Director with information needed for the End of the Year Report.
- Attend weekly meetings with the hall director and scheduled desk staff meetings.
3. To perform general operational services for residents of the building
- Monitor inventory of student room keys, lock out keys and peds.
- Communicate lock changes and follow-up for charges and billing.
- Coordinate the processing of student room changes.
- Ensure the completion of check-in and check-out records that get submitted electronically.
4. To assist in the opening and closing of the building during the academic year.
- Prepare keys, peds, and bathroom codes for distribution to incoming residents prior to the beginning of each semester.
- Assist Hall Director/Graduate Hall Director in preparing check-in materials for residents.
- Create and maintain housebook.
- Oversee the labelling of student mailboxes.
- Perform additional duties and special assignments as directed by the Hall Director/Graduate Hall Director.
