When will the program go into effect?
We will be conducting a pilot program with select departments and computer labs late in the Fall 2009 semester. We hope to implement Print Responsibly university-wide during 2010.

If I can no longer print on a personal printer in my office, how can I securely print sensitive/private documents such as employee performance reviews or my paycheck information?
To print a document, an individual will need to enter in a department or personal code at the printer/copier to retrieve the document, making it far more secure than the printers currently in use.

Will BGSU Firelands participate?
Yes. We will also be working with BGSU Firelands to implement Print Responsibly.

Our department just purchased/leased new printers and/or copiers. Will these have to be replaced? Will the print management company purchase these from us? Will we lose that significant investment we just made?
We are still working through these details with our vendor. However, the end goal is for the University to no longer own any equipment.

Our office has some very costly, specialized printers (e.g. for printing wide-format blueprints/drawings, high-resolution photographs or comps for commercial print jobs)? What will happen to these printers?
These printers will not be part of this project. You will still be responsible for all expenses related to the device.

Will all offices/departments be required to participate in this program or can we continue use or current equipment or contract with our own vendors if we prefer?
It will be strongly encouraged that all offices/department participate.

How will offices be involved in the Print Responsibly process?
In a manner similar to the Desktop Refresh process, Department Heads/Department Contacts will be e-mailed with an invitation to complete an online survey regarding printing, copying, and faxing needs for their area. The results of this survey along with information obtained during an on-site assessment will be used to develop a plan for equipment to stay, be replaced, or be removed.

What will happen to devices currently being used?
The future of devices currently being used will be evaluated during the department/area survey process. The future for each device will be evaluated as a part of this assessment phase.

The cost of toner is included in the per image cost, will this also include paper?
Each area will continue to be responsible for providing the paper used in devices.

Will color printing be included in the project?
Yes, color printing will be available as a part of the Print Responsibly project.

Will duplex printing be included in the project?
Yes, use of duplex printing will be available as a part of the Print Responsibly project.

Will multi-functional devices be included in this project?
Yes, devices capable of printing, copying, and faxing will be a part of the Print Responsibly project.

Will printing from multiple platform types (Windows, Macintosh, Unix, etc.) be covered in this project?
Yes, the devices put into place will be capable of working with multiple platforms including Windows, Macintosh, and Unix.

How will printers that were purchased/will be purchased using grants be handled as a part of this project?
With the Print Responsibly project, it will be possible to tie a printer and per copy costs directly to the grant DCC. It will be possible for this to continue for the life of the grant, however the equipment would be removed at the end of the grant.

What level of response time can be expected for service and repairs with the Print Responsibly program?
An initial response time of 2-3 hours is anticipated.

Will any reports regarding printer/copier/fax usage be available?
It is anticipated that budget administrators will have access to reports detailing this type of usage by user.

Will there be an 800# to call for trouble assistance?
A phone number to call for assistance will be available. This number will be published once the phone number has been determined.

In offices/departments, how many users will be assigned to each device?
This will be determined during the assessment process. In general, a device to user ratio will not be enforced but rather each area will be evaluated based on their needs and usage patterns.

What is the schedule for contacting offices/departments for completing an assessment?
It is anticipated that these assessments will all be scheduled by Spring Break.

For a faculty/staff member who has purchased their own desktop printer and provides their own toner but obtains paper from the department, will they be able to continue to meet their printing needs in this way?
This would be determined by the faculty/staff member’s department practices and policies.

What will happen to offices/departments that are currently paying for fairly new equipment?
These circumstances will be reviewed during the assessment process and will be addressed on a case-by-case basis.

With the multi-function devices, will it be possible for the device to complete more than one process at a time?
The multi-function devices will be capable of printing, copying, and scanning. Based on the type of job being sent to the device, it will complete jobs simultaneously if possible. Additional jobs will be placed in a queue and processed in the order received. Users will have the ability to reference the place their job holds in the queue.

What happens if a device fails?
A process for dealing with device failures will be developed. Following the report of the device failure an assessment of the situation will provide information to be used in providing the best resolution. It is anticipated that resolutions will include on-site equipment repair, job re-routing, and “hot swap” of devices.

When will students start paying for printing?
An exact time remains to be determined and it will be announced well in advance of the start date. It is anticipated to occur at a point after the Spring 2010 semester.

How will students be charged for printing?
Printing charges will be processed via the BG1Card system.

What will be the price per print or image?
This remains to be determined. Once the information has been determined, it will be included with the information provided at this web site.

Will lab and/or office staff be able to clear paper jams?
Yes, lab staff will be able to complete responsibilities in a manner similar to the current process. Office staff will also be trained in how to appropriately complete troubleshooting such as clearing a paper jam.

Will a two-sided document count as one print or as two prints?
The cost will apply on a “per impression” manner so a document with printing on both sides would count as two pages.
