Update - April 2005
All Employees (Faculty, Staff and Student)
Beginning in July, any employee who has direct deposit for their pay check will no longer receive a pay stub in campus mail.
There will be two new web self-service links published on "My BGSU" for employees to view and print their pay information.
These applications are targeted at all employees (faculty, staff and students). To access these new web self-service pages,
employees will need their P#, username, and password. If you do not have or do not routinely use a computer at your primary
work location, you can view your pay stub at any public access computer across the BGSU campus.
Training will be available for all employees. For people who have access to a computer, there will be a self-service training
module to demonstrate how access pay information via the web. Details on how to access the training modules will be communicated
later. For people who do not have access to a computer, we plan to offer in-person demonstrations during the month of May.
These demo sessions are open to all employees and will be advertised in numerous communications across campus.
HCM Testing Activities
The BG@100 Project Team has been actively testing the HCM system to insure that it will be ready for the University community
on June 27th. To maximize the effectiveness of the testing, individuals from the Office of Human Resources, Payroll, Continuing
and Extended Education, Student Employment and the Graduate College were invited to the BG@100 office to participate in the
testing exercise. Through this exercise, the various processes that those offices perform on a daily basis were tested in
the HCM system. These tested processes include hiring employees, paying employees, modify an employee's deductions and pay
rate, modifying an employee's benefits package, and much more. The testing was successful in that it produced the following
results.
-
Many processes were successfully tested and proven to work in the HCM system
-
Some issues were identified within specific processes that are now being evaluated and corrective measures are being developed
-
Individuals from the offices that will be the primary users of the HCM system had an opportunity to preview the system
-
The testing helped identify areas were training materials could be refined and improved
The Project Team will continue their testing activities until HCM goes live at the end of June. The next major testing event
is a parallel test where the team will verify that the payroll run from the current AHRS System matches the payroll run from
the new HCM PeopleSoft System. Both the Monthly Payroll and Biweekly Payroll cycles will be parallel tested in April.
BG@100 HCM Training
The BG@100 Project Team has been working hard to develop the training schedules, training materials, training curriculum,
and general training related correspondence for the University community. Please visit the HCM training pages by clicking
on the above link called, BG@100 HCM Training. As new training information is available, it will be published under this
link.
The Project Team plans to conduct a variety of training sessions in May and June. Included in this plan are targeted sessions
for training the individuals directly involved in both payroll and human resources related activities. The Team also has
training planned that will provide employees with instruction on how to view their paychecks and pay compensation history
within the PeopleSoft HCM system.
PeopleSoft Production Security
The Project Team continues to define the production security roles and users within those roles. As a result a new security
form and approval process is being created. All PeopleSoft HCM users will be required to complete a new security form even
if you were a previous AHRS user. We are starting clean with our security records. After June 27, 2005, any one requesting
access to PeopleSoft HCM will be required to follow the new procedure. More information regarding security will be published
prior to June 27, 2005.
BG@100 Team Resource Changes
We have welcomed two new people to the Project Team in March. Bill Gerwin from ITS has joined the project team as Project
Director and John Konecny from ITS has joined the project team as an Applications Support resource.
