Update - March 2005
The BG@100 project team continues to work toward the June 27, "Go-Live" Date for HCM Phase 1. A lot of hard work is going
into making sure the new system is a success and a reality. The replacement of the AHRS system will bring enhancements for
the Payroll and Human Resources areas. The introduction of the self-service applications of View My Pay Advice (check stub)
and View My Compensation History are enhancements that will be visible to all BGSU employees.
The project team has completed several conversion tests and is running test payrolls in order to verify the data converted.
Work on PeopleSoft production security as outlined in the February update also is ongoing.
Continue to watch the monthly updates for information on the HCM rollout and progress as the BG@100 project begins to move
into the Financials phase.
The following three items provide information on how this project may affect individual users. Please read the following updates
in order to understand how project enhancements may impact you.
Printed Pay Stubs Eliminated for Direct Deposit
On June 27, 2005, the PeopleSoft HCM system replaces the current AHRS as the new system for Payroll and Human Resources application.
How does this effect BGSU employees? For all employees who use direct deposit, Payroll will stop printing and mailing your
pay stub to you. Your pay stub information will be available on-line using a new self-service web application from PeopleSoft.
The first pays to be available on-line are;
- the July 2005 pay for employees who are paid monthly
- the July 15, 2005 pay for employees who are paid biweekly.
During April and May more information on how to access your pay information on-line will be available to you. To keep abreast
of the training opportunities regarding our new self-service applications, please use this project web site. Another way to
access the web site is from the University's home page using the BG@100option under the Quick Links drop down.
To All Employees - Expect Letter in May at Your Home
As a result of implementing the new Payroll and Human Resources application, numerous changes will occur. These changes will
be summarized in a letter and sent to each employee's home mailing address on or before May 23, 2005. The letter you receive
reflects the changes that impact you based upon your employee status, such as faculty, administrative or classified staff.
In addition there are changes that impact all employees.
the cover letter will announce a series of open forums where employees are encouraged to attend and ask questions. The dates
of the open forums are;
- Tuesday, June 7
- Wednesday, June 15
- Tuesday, September 13
- Wednesday, September 14
The changes documented in the letter will go into effect on June 27, 2005. For those who are not here on campus during the
summer, the September open forums provides you the opportunity to ask your questions in person after returning to campus in
the fall.
The BG@100 project team has been documenting the changes in detail on our project web site during the entire length of the
project. If you would like details on each change, select the links for the Information and Action Items
To All Current AHRS Users - Training for PeopleSoft HCM
In February 2005 a new Training link was added to the BG@100 project web site. If you currently use the AHRS on-line payroll
and human resources system or you use FOCUS reports that read the AHRS data, please read the training information provided
at the project web site. This link will be updated as new training courses and groups are identified. If you require training
in the new PeopleSoft HCM system and do not see your name or group identified on this site, please identify yourself at
BG@100@bgsu.edu.
As of mid-February the core office members of Human Resources, Payroll, Graduate College and Student Employment have been
identified and enrolled in the appropriate courses. The training needs of Firelands and Continuing and Extended Education
are currently being determined. All colleges will be approached for their training needs.
If you create or just run FOCUS reports that use AHRS data, please identify yourself by writing to
BG@100@bgsu.edu.
