Automating the Time Card Process for Students Tuesday, March 18, 2003 315 Bowen Thompson Student Union
Committee Members Present: Bryan Benner, Stephanie Crooks, Kim Davis, Barb Erisman, Mike Failor, Duane Hamilton, Brian Kramer, Jeff Nelson, Mariann Reiter,
Julie Rogers, Jen Sader, Michele Schmitz, Michelle Simmons, Sandy White, Donna Wittwer, Karen Woods
Jeff Nelson called the meeting to order at 1:05 p.m. He distributed the agenda for the meeting.
1) Card Reader Update
Donna Wittwer stated the Committee has been making personal phone calls to different areas about readers. At this time the
Committee has approximately 30 requests for readers.
2) Training Update
Sandy White stated the instructor was good, very knowledgeable. The system has many bells and whistles. BGSU will start small
and add features over time. The system is able to do anything we would want and has excellent reporting tools.
Duane Hamilton commented that the system is probably capable of doing five times as much as what we are going to use at BGSU.
The screens will be customized for BGSU before training begins. We will not use the Kronos screens in training.
Michelle Schmitz stated the training was a great sales tool. The instructor admitted, “I do not know” to questions, but was
quick to guide you to the right person. The instructor was able to communicate on all levels.
Stephanie Crooks commented that they may have to help departments with the initial setup. That the setup is quite involved.
Jeff Nelson stated that eventually there would probably be a Committee formed similar to AFIN or AHRS, to explore enhancements,
etc.
3) Sign-ons
BGSU is considering a form similar to the one used by ITS for the SecureID Card.
4) New Student Employees
Supervisors may have to use green addendum form until student is entered in the system.
5) New Supervisors of Student Employees (ETA’s)
It was suggested that when an employee leaves the University a form be completed at the exit interview to determine if the
employee has a supervisors license. The form would then go to Payroll and the license would be cleared to issue again. This
needs to be done on a timely basis.
Sandy White stated employee and supervisors licenses will need to be monitored approximately three times a year to free up
licenses not being used.
6) Approval Levels
- Student to enter time
- Student supervisor to approve time (not own)
- Departmental supervisor (sign-off)
- Payroll to lock
7) eTime Help Desk
Brian Kramer from ITS will be developing the eTime Help Desk. After calling the Help Desk number the call will be channeled
to the proper person.
Brian stated ITS has two readers being held back. If there is a problem with a reader on campus one can be taken to that location
while theirs is being repaired. The other reader will be used for training and testing. A reader can hold information for
up to 30 days.
The Help Desk is open from 7:30 a.m. - 10:00 p.m. Monday through Thursday and 7:30 a.m. - 5:00 p.m. Friday.
8) Frequently Asked Questions (FAQ’s)
Michelle Simmons distributed “eTime Questions for the Web Page”. She asked that everyone look it over and mail additional
questions or comments directly to her.
9) Web Page Update
Michelle Simmons stated that “eTime Questions for the Web Page” might also be used at the Help Desk.
10) Other Issues and Challenges
Jen Sader is working on an email address for eTime. The address will be monitored as to frequency of questions asked. It should
be up and running within the next week with basic information. More information will be added as we move forward.
Mike Failor commented on the Mac issue. It appears as though they may have found a solution using Netscape. Mike is continuing
to work with Kronos on the problem. Mike stated there were some problems with connectors between the web and database servers.
Kronos will be returning to campus to reinstall. The system is still on schedule.
Duane Hamilton stated the electrical work for seven readers has been completed. Mike Failor commented that five are installed
and ready to go. All pilot areas are installed.
Jeff Nelson announced the next meeting would be Tuesday, April 1, 2003 at 1:00 p.m. in 315 BTSU. He adjourned the meeting
at 2:05 p.m.
