Automating the Time Card Process for Students Tuesday, January 7, 2003 207 Bowen Thompson Student Union
Committee Members Present: Bryan Benner, David Crooks, Kim Davis, Micky Doolittle, Mike Failor, Duane Hamilton, Jeff Nelson, Mariann Reiter, Jen Sader,
Pam Sautter, Michele Schmitz, Michelle Simmons, Jim Stainbrook, Sandy White, Donna Witter, Karen Woods
Jim Stainbrook called the meeting to order at 1:07 p.m. wishing everyone a Happy New Year.
The Pre-implementation Committee discussed the workshop they attended on January 2 and 3. All agreed it was very informative,
but did not have all the answers.
Jeff Nelson stated it was a tough 2 days. Many decisions need to be made and there is much to do. The Committee must develop
training mostly on their own and need to have a training plan in place. Jeff stated with the system being more automated,
security may need to be tightened. Different security levels may need to be determined.
Sandy White stated the training was intense. There is more involved than she realized and many bugs need to be ironed out.
All in all she believes it is a good system.
Michelle Simmons stated we do have challenges, but she is confident we can work through all the problems presented. She stated
supervisors must become more involved due to overrides, etc.
Mike Failor stated it is a unique system with five separate distinct servers. Currently the Kronos system does not run on
a Mac. Hopefully, by April 2003 this will not present a problem. Mike also mentioned at this time Kronos does not support
Eudora.
Jim Stainbrook stated some of the advantages and disadvantages to students using a reader versus a PC. A student cannot see
their schedule from a reader. It would require two different licenses to use both the reader and the PC. There was a lengthy
discussion as to whether every student should be issued a PC license so we do not have two different classes of students.
Jim stated a student could enter time four different ways. One way is on the reader and three ways through the PC.
Jen Sader suggested using old PC.s for reporting in and out. There would be no other features at these stations using the
old PC.s.
Donna Wittwer suggested a visit to Ball State to see their system since it has been in place for the last 5 . 10 years. She
thought we should compile all of our questions and send a small group to their campus.

Two subcommittees were formed:

BGSU paid $15,100.00 for training. There are several more classes to attend at Kronos. The Training Committee needs to decide
who will attend and then train others.

BGSU has 105 buildings on campus. The Committee will determine the best locations for the fifteen readers purchased. Jim Stainbrook
stated the Union has received $10,000.00 in AIP funds for timekeeping. They may be able to purchase additional readers if
needed.
The Pilot departments were selected. They are Mariann Reiter, Library; Michelle Simmons, Student Employment; Duane Hamilton,
Facility Services.
BGSU has purchased the following licenses: 5,000 PC, 500 managers, and 7,000 users.
Sandy White will have available for the next meeting an updated list of all student employees by agency/org. Sandy and Michele
Simmons will compose a letter to be sent to all departments to determine who will receive a manager.s license.
Jim Stainbrook, Jeff Nelson, Michele Simmons, Mike Failor and Sandy White will be having a meeting with Kronos representatives
here on January 16. They also have a conference call with Kronos every Friday at 11:00 a.m.
The next meeting will be held Tuesday, January 21 at 1:00 p.m. in Room 315 of the Bowen Thompson Student Union. Homework for
the Committee will be to bring questions, issues or problems that have not been addressed to this meeting.
Jeff Nelson adjourned the meeting at 3:20 p.m.
