Automating the Time Card Process for Students

Jim Stainbrook called the meeting to order at 1:10 p.m. Jim had everyone introduce themselves and state their department.

Jim Stainbrook updated everyone about the Kronos Implementation. Jim, Jeff Nelson, Michelle Simmons, Mike Failor and Sandy White will be attending the two-day seminar on January 2 and 3 in Southfield, MI. The Committee needs to complete the following by December 30:

Features Configuration Survey
Payroll Interface Questionnaire

Before working on the survey Jeff Nelson asked for general questions and comments not addressed in the survey. The list includes:

  • How is overtime for students handled when they have more than one position?
  • How to substitute students when using the schedule feature?
  • Exceptions / Exemptions? How many?
  • How is time recorded when the student is working at a site?
  • Since the system has its own server what happens if it goes down?
  • Pre Population - what does it mean? Ex: Used for administrative staff not students.
  • Can the scheduling feature be used for some students and not others working in the same department?
  • Can you predate a schedule?
  • What needs to be done twice a year for daylight savings time? How will calculations change pay?
  • How much time would be needed to create schedules for approximately 500 employees?
  • Can students clock in on the WEB from their residence? Jen Sader stated there would be a log to see where they are logging on.

Bryan Benner suggested a field trip to Ball State to see the Kronos system being used. Jim Stainbrook mentioned they have been using the Kronos system for ten years. Bryan suggested major players such as Facilities, Library and Dining Services be included.

Students will use the same ID. There will be three ways to record time:

  • Card Reader (16 purchased)
  • At PC - WEB enabled
  • Manager manually entering time for student

The Committee should be considering a good pilot department. Jeff Nelson is going to check and see if we could use more that one department. Suggestions made were the Union (not the dining halls) and the Library.

The next meeting will be Tuesday, January 7, 2003 at 1:00 p.m. in Room 207 Bowen-Thompson Student Union.

Jeff Nelson adjourned the meeting at 3:30 p.m.
