The "back office" term refers to the areas of focus for the current conversion phase. For example, during the HCM phase the
"back office" areas would be identified as Human Resources, Benefits Administration, and Payroll.

| BG@100 |
The name given to the BGSU project to move administrative systems to PeopleSoft. The name represents completion of project
phases as the university approaches the centennial celebration.

| BG@100 Project Office |
Located at 414 E. Wooster Street - it is the location of staff (functional, technical, and consulting) working on current
phase of PeopleSoft Implementation.

| Business Unit |
A 5-digit unique identifier required by PeopleSoft to designate a legal entity. BGSUN will be uniform across all three PeopleSoft
systems - FMS, HCM, SAS.

| Change Management (Organization) |
Those activities directed towards helping an organization successfully manage the acceptance of new processes and systems.
|
| Conversion |
Process of transferring data from current administrative systems to PeopleSoft. The conversion process involves identifying
the data that must be brought to the new system, mapping the data to PeopleSoft fields, translating old codes into PeopleSoft
codes and loading the clean and compatible data into PeopleSoft.

| Crystal Reports |
Crystal Reports is a reporting package that helps PeopleSoft users generate clear and easy to read printed reports containing
data from PeopleSoft applications and modules.

| Data Mapping |
The process of identifying a source data element for each data element in the target environment. For example, in the case
of FMS, source data elements in AFIN are assigned target data elements in FMS.
|
| Data Warehouse |
A collection of data designed to support management decision making. Development includes a warehouse database providing efficient,
flexible access to data in order to complete queries, projections, and data summaries.

| Decision Director |
Web-based application used to gather information and provide analysis for use in software procurement decisions.
|
| Document Imaging |
The online storage, retrieval and management of electronic images of documents. Documents can be shared by users on a network
and document routing can be controlled by workflow. A small amount of text (keyword) is generally associated with each document
to allow for the creation of an index.

| Drill Down |
A PeopleSoft function that enables PeopleSoft users to quickly access and review detailed information about a given transaction.
|
| e-Hire |
A web-based system used by Student Employment for completing the process of hiring a student employee to work on campus.
|
| ERP |
Enterprise Resource Planning - Any software system designed to support and automate the business processes of medium and large
businesses. ERP systems are information systems for identifying and planning the enterprise-wide resources.

| ESC |
The Executive Steering Committee has overall responsibility for the success of the project effort. This committee makes decisions
regarding project scope, priority, timelines, and issues brought forward by the implementation team. The committee also serves
as the point of appeal should a decision require further analysis.

| e-Time for Students |
A web-based system created by a Massachusetts company called Kronos for student employees to use in reporting their time worked.
|
| Fit/Gap |
A study comparing current systems to the PeopleSoft system to determine which processes can be easily continued (what "fits")
and what may require customizations in PeopleSoft (the "gaps").

| FMS |
Financial Management Solutions is the PeopleSoft enterprise software application used to manage and analyze BGSU's financial
activities. This Web-based software application will replace the Advantage Financial - AFIN system.

| FOCUS |
A reporting tool used in conjunction with BGSU's legacy systems
|
| FTP |
File Transfer Protocol. Computers use FTP when moving a file from one machine to another e.g., from your desktop to a server
or from one server to another server.

| Functional Leads |
Subject matter experts from the offices most affected by the change to PeopleSoft (Human Resources, Benefits, Payroll, Finance,
etc.). These BGSU employees join the BG@100 project team to help guide the implementation of the PeopleSoft system for their
area of expertise.

| "Go-Live" |
The date when an official switch from a current administrative system to PeopleSoft will take place.
|
| Higher Education User Group (HEUG) |
User group of higher education institutions using PeopleSoft/Oracle products. Common place for voicing concerns, getting help
from colleagues, and receiving updated presentation information from Oracle management, developers and business partners.

| HCM |
Human Capital Management = Human Resources, Benefits Administration, Payroll. The PeopleSoft enterprise software application
used to manage and analyze BGSU's human resource, benefit administration, and payroll activities. This Web-based software
application replaced the Advantage Human Resources System (AHRS) in June 2005.

| Implementation |
Completion of a release, which means that a module is in production and if applicable, is deployed to all end users identified
for the release.
|
| Integration |
A relationship between two compatible integration points that enables communication to take place between systems. Integrations
enable PeopleSoft applications to work seamlessly with other PeopleSoft applications or with third-party systems or software.

Refers to processes that occur simultaneously. A PeopleSoft payroll and an AHRS payroll were run using the same data - this
is an example of parallel testing. These results were then compared to reconcile any differences prior to "Go Live".

| Production |
The "Go Live" state - when PeopleSoft is the system being used as the administrative system.
|
| Query |
A means of asking questions of the PeopleSoft database without needing to use a technical language like SQL (Structured Query
Language).
|
| Real Time |
Computer system that responds to transactions by immediately updating the appropriate files and/or generating a response in
a time frame fast enough to keep an operation moving at its required speed.
|
| RFP |
Request for Proposal - The publication by a prospective software purchaser of details of the required system in order to attract
offers by software developers to supply it. Software development under contract starts with the selection of the software
developer by the customer. A request for proposal is the beginning of the selection process.

| RMS |
Residential Management System. A third party vendor that will be used in conjunction with PeopleSoft for the Residence Life
module.
|
| Roles |
A PeopleSoft system security feature which enables a PeopleSoft user to have one or more permission list allocated to his or her unique User
ID.
|
| Rollup |
The organization of data elements with their reporting structures. It represents both the hierarchy and the method used to
consolidate these data elements within the various hierarchal levels.
|
| Sandbox |
One of many environments in PeopleSoft used early on that may be used to set-up saple records, test cases, etc. Data in this
environment is not always "good data" - to be used with caution.
|
| Search/Match |
Process used to search the system for existing records and perform a match of various components (i.e., if no match exists,
a new record is added).
|
| SIS |
Student Information System - legacy student system used at BGSU

| Scripts |
A list of commands that can be executed without user interaction.
|
| Self-service Application |
A self-service application allows employees to obtain job-related information through a web portal or specialized kiosk.

| Speed Chart |
A PeopleSoft feature that essentially serves the same purpose as Speed Type except that it permits multiple combinations of
chartfields.

| Speed Type |
A 10-character field in PeopleSoft that provides default values for numerous chartfields, which simplify the entry of chartfields
commonly used together.

| Stakeholders |
All within the BGSU community who will be affected by the implementation of PeopleSoft.
|
| Student Administration System |
The PeopleSoft Enterprise software application used to manage and analyze BGSU's student-related business processes such as
records and registration, financial aid, and academic advisement. This Web-based software application will replace the Student
Information System (SIS).

| Subject Matter Experts |
In addition to "back office" resources, these are areas highly impacted and involved in the current conversion phase. For
example during the HCM phase, an area to be involved as a subject matter expert would be Student Employment.

| Translate Table |
Database tables that cross-reference a code or an abbreviation with its corresponding value.
|
| Trees |
Graphical representations of a hierarchy in PeopleSoft that shows the relationship between data elements (for example, BGSU
offices, colleges, and departments) and determines the rollup of such data elements.

| UPK |
User Productivity Kit. This is a product to allow training and support personnel to create interactive software simulations
and other instructional materials. These simulations allow users to see and interact with an application even before they
have access to it.

| User ID
|
A unique identifier for each individual PeopleSoft user, which typically includes a combination of characters, known only
by the user themselves. PeopleSoft User IDs will be the same as the individual's BGSU username.

| User Preferences |
A PeopleSoft application security feature used to restrict the ways PeopleSoft users can interact with specific types of application data.
|
| User Profile
|
A PeopleSoft system security feature which represents one PeopleSoft user and specifies a number of user attributes, including
one or more assigned roles.

| Vanilla |
Off-the-Shelf products with little to no customization to meet the user's needs
|
| Workflow |
The order in which specific work is performed; consists of a process that creates a list of administrative actions based on
the user's criteria and specifies the procedure associated with each action.

| Worklist |
An automatically created to-do list that the workflow produces. PeopleSoft users can access the next most important task
in the to-do list and then return to the main list upon completing the task.
