Q: Why do I need CSS Security access?
A:  CSS Security Access will provide access to data beyond what is available to users via Faculty Center or Student Center.  Users may complete and submit  a CSS Security Access Request form to request access at a level appropriate to complete their job duties and responsibilities.

Q:  What steps are involved in obtaining CSS Security access?
A:  There are several steps involved in obtaining CSS Security Access.  The first step is to determine the module and level of access the user requires in order to complete their job duties and responsibilities.  Once this information is determined, the user will need to complete any required training and then the user may complete and submit the CSS Security Access Request form.  Once the request form has been approved the user will be granted CSS Security access.

Q:  How do I know what CSS training to complete?

A:  Any user requesting CSS security access will first need to complete four prerequisite online training classes and their associated quizzes.  These classes are:

CSS 110:  Introducing Campus Solutions
CSS 120:  Understanding Academic Structure
CSS 130:  Campus Solutions:  Learning the Basics
CSS 140:  Understanding Campus Community

Based on the access level being requested, additional training sessions may be required.  For admissions, student records, and student financials the levels of access are outlined as training tracks.  Each web page referenced below will list various training tracks and the tasks associated with each.  Users are asked to find the training track that best meets their needs and to then select the associated Checklist link provided for each training track.  The Checklist will provide information on the required training as well as information on how to complete the CSS Security Access Request form.

A web page listing and describing the CSS training classes is available for reference at:  www.bgsu.edu/offices/cio/page52254.html.

Q:  What are the differences between the 200-level and 300-level CSS classes?
A:  The 200 level classes are designed for users who will be viewing data in CSS and the 300 level classes are designed for those who will be maintaining data in the system.

Q:  How do I request access to the CSS online training classes?
A:  The CSS online training classes are available to users via MyBGSU.  Classes will be available for users to use once their enrollment request has been completed.   To request enrollment, users are asked to send an email message requesting access to BGat100@bgsu.edu.  In the message include the specific class(es) being requested, the name of the user requesting access and the BGSU username of the user requesting access.  Once enrollment in the class(es) has been completed, the users will receive an email informing the user how to access the class via MyBGSU.

Q:  I am enrolled in a 300 level class but when I try to start the class it says Topic is Loading....Please Wait?
A:  This message will be seen by Macintosh users who are attempting to open the class using Safari.  It is recommended that Macintosh users use Firefox to open the 300 level classes.

Q:  I have finished the quiz for my class, do I need to print the certificate and turn it in?
A:  The results of the quizzes are electronically stored and you may print the certificate for your own reference however, it does not need to be turned in.

Q:  Where do I obtain the CSS Security Access request form?
A:  The CSS Security Access Request forms are available online at:  www.bgsu.edu/offices/cio/page54729.html.

Q:  Where do I turn in my completed CSS Security Access Request form?
A:  Completed CSS Security Access Request forms are to be submitted to the Technology Support Center (TSC) in 110 Hayes Hall.

Q:  My supervisor will be out of the office for several days, can I use a stamp for his/her signature?
A:  An original signature is required prior to submitting the form.

Q:  Do I need to request CSS Security access if I already have FMS access?
A:  Yes, you will also need to request CSS security access.

Q:  What happens to my form once it is submitted?
A:  Once a form is submitted to TSC it is scanned in to the OnBase system and the user requesting access will receive an email message from TSC to let them know their form has been received.  The form then moves forward for verification of training completion and approval by all functional area leads (Campus Community, Admissions, Student Records, Financial Aid, Student Financials).  Once approval has been provided the submitter is again notified by email.  The form then goes to the security administrator for processing - the final step.  The user is notified by email once this has been completed.

If the security access request is denied, the submitter will receive an email outlining the reason.  In some cases, the user may have the opportunity to take appropriate action and resubmit the request.

Q:  What are some reasons a CSS Security access request form would be denied?
A:  Reasons may include the user has not completed the appropriate training, the form does not have an appropriate supervisor signature, the level of access being requested is not appropriate, the form asks for access "just like person x" - specific roles must be requested by each submitter, all boxes on the form have been checked or the form asks for access to specific pages or processes rather than a specific role.

Q:  Once the reason for a form denial has been resolved, can the same form be resubmitted?
A:  The same form may not be resubmitted, the user will need to complete a new form and submit the new form.

Q: What happens when the CSS security access granted to a user is no longer needed?
A:  All CSS users, or those supervising them, must submit a request to remove CSS security access once it is no longer needed due to a change in job duties, a change in position, retirement, etc.  The same CSS security access request form used to request CSS access is used to remove CSS access.  The user completes the form by selecting the appropriate delete boxes and submitting the form to TSC.  A CSS security access request form for removal of access may be submitted by either the employee or his or her supervisor.

Q:  I need to view Queries, how do I obtain that access?

A:  Query Viewer provides "read-only" access to predefined queries.  Users with Query Viewer security access can search, run, print, and download query data.  Training for Query Viewer access is comprised of two online classes and an optional hands-on Query Runner class.  CSS users requesting Query Viewer access are also required to have successfully completed CSS 110-140 online classes prior to requesting access.  Details regarding Query Viewer training and access are available at:  www.bgsu.edu/offices/cio/page62349.html.

Q:  I need to create Queries based on CSS data, how do I do that?
