Student Self Service 

 

Synopsis

The BG@100 project will be implementing the Oracle/PeopleSoft Campus Solutions (CSS) system as the Student Administration ‘system of record’ in a phased implementation plan from August 2008 – August 2009.  Details are accessible at the BG@100 web site:  www.bgsu.edu/bgat100.

Student Self Service will be introduced as a part of the December BG@100 Go-Live.  This application provided the opportunity for BGSU students to review and update several types of information.

As a part of the implementation scheduled for December 8, 2008, Student Self Service include the following items:

  • MyNames
  • MyAddresses (additional address types will be included)
  • MyPhone Numbers (additional phone number types will be included)
  • MyEmail Addresses
  • MyEmergency Contacts
  • MyDemographic Information

The Student Self Service Update Personal Information option will be available 24 x 7.

This Sneak Peek was created during the BG@100 CSS implementation and was accurate as of the time of publication.  As the phased implementation progresses, some of the information presented in this Sneak Peek may be subject to change. Please consider this document accurate as of the time of publication and be aware that changes and updates to the system may have taken place since the creation of this document.

  Details

On December 8 BGSU students will be able to reference and update Name, Address, Phone Number, Email Address, Emergency Contact, and Demographic Information using the Update Personal Information link available within MyBGSU.

To access, students will login to MyBGSU and select the Update Personal Information link available under Academic Services.

Once the student’s personal information has loaded, students will have options to select the item to be updated by selecting the appropriate link on the left.

The screen will appear as:

MyNames

The screen for MyNames will be similar to the following example:

In this example, the user will have the option to edit the Preferred Name. 

The Primary Name field is not accessible for edit by the student.  Any changes to the information may be requested by providing proper documentation to the Office of Registration and Records or by completing the form available at: http://www.bgsu.edu/offices/registrar/page5616.html.

Using the Add A New Name button, the user would have the option to also add a Diploma Name to the listing.  The Diploma Name field will display the student’s name as the student wishes to have it appear on his/her BGSU diploma.  This will be available beginning with the Summer 2009 graduation application that will begin in February 2009.

 

MyAddresses

The screen for MyAddresses will be similar to the following example:

In this example, the user will have the option to edit the Home Address as well as the Mail Address. 

The Home Address is the address provided to BGSU at the time of application for admission to BGSU.  This address should be a home or other address to which important correspondence can be sent year round.

For BGSU students, the Mail Address should reflect the address of their residence if they live off-campus locally.

The Business Address is the BGSU employment address for faculty, staff, and graduate students employed at the University through the Graduate College.  Graduate student employees may request updates to the information by contacting the Graduate College.

Using the Add A New Address button, the user would have the option to add a Billing address.  A billing address is an alternate address to which BGSU student’s bills or invoices may be sent.

On-campus students will also see their Residence Hall address as maintained by the Office of Residence Life listed.  Students are directed to contact the Office of Residence Life to request a change to the displayed information for this data.

 

Phone Numbers

The screen for MyPhone Numbers will be similar to the following example:

In this example the user will have the option to edit the Home Phone Number information.  Additional phone number data may be added by selecting the available option with the Add A New Phone Number button.

The Home Phone number is the phone number provide by the student at the time of their application.

A Cellular Phone number may be provided by a student by selecting the Add a Phone Number option and adding/updating this information.

A Residence Hall phone number will display for a student who reside in a residence hall.  Any changes to this information may be requested by contacting the Office of Residence Life.

The Business Phone Number and Business Fax is the BGSU employment phone number and/or fax number for faculty, staff, and graduate student employees.  Graduate students employed at the University may request updates to the information by contacting the Graduate College.

The Fax phone number field will be used to store a non BGSU facsimile number for external candidates and external organizations, such as high schools.

The Other field may be used for storing a non BGSU phone number for a BGSU employee or a BGSU student.

Please note that phone number changes made here will not change the information that was provided to AlertBG.  Please continue to make changes to AlertBG data by following the instructions available at:  http://www.bgsu.edu/offices/mc/page39812.html.

 

Email Addresses

The screen for MyEmail Addresses will be similar to the following example:

In this example the user will have the option to edit the Personal Email Address information. 

The Campus Email Address is the official email of record for active faculty, staff BGSU students and retired BGSU employees.  It is the primary email address used for BGSU related communications.  Account holders are responsible for information sent to this email address.  This information is not accessible for edit by the account holder.  To request a change to the BGSU email account display name, submit the request using the Email Display Name Change form available under Misc Services in MyBGSU.

Using the Add An Email Address button, the user would have the option to add a Personal and Personal2 email address.

 

Emergency Contacts

The screen for Emergency Contacts will be similar to the following example:

In this example the user has listed Freddy Falcon as an Emergency Contact.  By selecting the Edit button, the user would be able to see the Emergency Contact Details web page.  The Emergency Contact Details web page will provide information about the preferred method to reach this individual.  The page may look similar to the following:

Using the Add An Emergency Contact button, the user would have the option to provide information for additional Emergency Contacts.

 

Demographic Information

The screen for Demographic Information will be similar to the following example:
