Spacer Meeting Maker to Exchange FAQ Spacer
 

 

 

 Q:  When will the migration from Meeting Maker to Exchange for calendaring happen?
 A:  Meeting Maker will be shut down at 5:00 p.m. on Thursday May 15, 2008. At that time, ITS staff members will begin the process of migrating data from Meeting Maker to Exchange.

 Q:  When will I be able to use calendaring in Exchange? 
 A:  All account holders may begin to access calendars from the Exchange system beginning Monday, May 19 at 8:00 a.m.

 Q:  Will I be able to use my calendar from Thursday, May 15 at 5 p.m. through Monday, May 19 at 8 a.m.?
 A:  During this time data will be moved from Meeting Maker to Exchange via an automated process.  Users will see the system automatically conducting invitations and acceptances as a part of this migration process.  It is VITAL that users do not read, delete, or move invitations or events during the migration process.  A confirmation email message will be sent to all users once the utility has moved all the data and users may access calendars and invitations as normal.

 Q:  Will everything from Meeting Maker be moved to my Exchange calendar?

 A:  Events, notes, invitees, meetings, and banners will automatically be moved to the Exchange system during the outage. Proxy information will not migrate, this information will need to be recreated as calendar sharing in the Exchange calendar.


 Q:  Will resource accounts used for room and equipment scheduling also transfer?
 A:  A resource is a calendar for things such as conference rooms, projectors, laptops. etc.  In Meeting maker, separate usernames and passwords were issued for these accounts.  With Exchange, full control of a resource will be assigned to the resource owner, and they can set up permissions for others using Outlook 2007.  If you need control of a resource after the migration, please call (2-0999) or email the Technology Support Center.  Details for sharing a resource are available on the ITS Self-Help page - http://www.bgsu.edu/its/tsc/self-help/page49918.html

 Q:  How do I set up calendar sharing on the Exchange calendar?

 Q:  Is there anything I should do in preparation for the migration?

 A:  It is recommended that all users print a copy of their calendar as close to the May 15 at 5 p.m. cutoff time as possible and keep this as a backup copy.


 Q:  How much of the information I have in Meeting Maker will be transferred?
 A:  One year of previous data (May 15, 2007) as well as all information for upcoming dates will transfer.
 
 Q:  I have already started using the Exchange calendar - what will happen to that information when the Meeting Maker information is migrated?
 A:  Users who have entered information in Exchange prior to the Meeting Maker migration will see duplication of information.
 
 Q:  How do I delete all events from my Exchange calendar?
 A:  There may be a case when a user wishes to delete all data from a calendar, or a large number of events at one time.  This can be done in Outlook 2007 by going to the View menu, selecting Current View, and then selecting Events.  In this view it is possible to click on the events to be deleted by Control-clicking on each one, or by shift-clicking a larger number of events.  From there it is possible to right-click and select delete.  Users are advised to use this feature with caution.

 Q:  Why do my meetings say "migrated" after them?
 A:  Meetings tagged with "migrated" are events created originally in Meeting Maker and transferred to Exchange via an automated process.  This allows users to identify between events that were created in Meeting Maker vs. Exchange and assists in troubleshooting if there are issues.  In general, if there are issues with a migrated event, it may be best to recreate it in Exchange.

 Q:  I use a handheld device to synchronize my calendar - will there be any changes with the migration to Exchange?
 A:  Users with synchronize with handheld devices may need to make some modifications to their setup after the migration is complete. Documentation on this process is available at:  http://www.bgsu.edu/its/tsc/self-help/page49918.html.
