PeopleSoft Campus Solution (Student Administration) Update
The BG@100 Project team is underway with the Oracle/PeopleSoft Student Administration Implementation Fit Gap. The Admissions
and Recruiting Fit Gap began on June 25, Student Financials Fit Gap will begin July 9, and Student Records Fit Gap will begin
July 30. A start date for the Financial Aid Fit Gap has not yet been set. Fit Gap is the first step in building the implementation
plan. The implementation planning process will proceed through the following steps:
Fit Gap - This is the process of comparing the Oracle/PeopleSoft functionality to the various business process flows that BGSU uses
to conduct business. During this comparison/discussion, determinations are made regarding potential processing fits and processing
gaps. The Fit Gap sessions produce documentation that defines the process fits and gaps. Fit Gap is expected to run through
the month of August and possibly into September.
Scope Planning - This is the process of defining what will be included in Phase 1 of the Student Administration implementation. The Scope
plan will be developed within the objectives established by the Executive Steering Committee. These objectives are documented
in the Executive Strategic Outline. The documentation from Fit Gap will be utilized to estimate any special development that may be needed to eliminate process
gaps. The scope for Phase 1 will be submitted to the ESC for their review in the form of a Scope Document.
Project Plan Development - This is the process of creating a comprehensive project plan that essentially includes all the tasks required to successfully
implement the Student Administration application based on the Scope Document. The Project Plan will be adjusted throughout
the life of the project to reflect any additional work identified as the project progresses. The Project Plan will be utilized
by the Project Team to ensure proper progress is maintained and to ensure that tasks are not missed.
System Setup and Configuration - This is a process that will start shortly after Fit Gap concludes and extend through the Process Modeling setup. In this
step, the Student Administration setup and configuration tables are built and tested. A variety of decisions related to how
data will be structured must be made in this step. Examples of setup decisions are; determining what types of addresses will
be defined for students, and determining the values that will be used in he various code tables.
Process Modeling - This is the process of testing the Oracle/PeopleSoft Student Administration processing methods with BGSU business. This
process occurs in conjunction with System Setup and Configuration. In this step, the Project team works with Subject Matter
Experts to ensure that the functionality delivered in the new system meets the needs of the University. This step includes
performing business process reengineering for BGSU business processes that will not work effectively within the Oracle/PeopleSoft
functionality. Process Modeling is where most of the decisions are made regarding the application's functionality.
Data Mapping - This is the process of mapping data elements from the legacy applications to the new Oracle/PeopleSoft application. During
this step, decisions are made regarding the amount of historical data that will be brought forward, decisions regarding the
cleansing of legacy data, and decisions regarding the transformation of data. Additionally, during Data Mapping any data
that is needed in Oracle/PeopleSoft that is not represented in the legacy applications will be discussed and decisions regarding
the creation of this data will be made. Data Mapping is the decision making process that facilitates the development of conversion
specifications.
The BG@100 Project team will be busy with these implementation planning tasks for the next 6 months. As important decisions
are made by the Project team and reviewed by the Executive Steering Committee, the decisions will be communicated to the campus.
BG@100 Project Office Update
In June, the BG@100 Project team welcomed Steve Hamrock to the BG@100 Project Office. Steve fills the role of Student Records
Functional Consultant for the Student Administration implementation.
The BG@100 Project office says farewell to Ayman Omar. The Project team thanks him for his efforts and wishes him the best
in his future endeavors. Ayman was the Technical Consultant for the FMS implementation.
