Administrative Systems Review Project Update - October 15, 2003
The next milestone, vendor demonstrations, is less than one week away. This update will provide a project overview since
the release of the Request for Proposal (RFP) in early September.
RFP Responses Received
BGSU received four responses to the RFP. Of the four, only one full bid response was received from PeopleSoft. Our core
evaluation team reviewed this response and prepared preliminary evaluations. The overall goal of the review is to determine
whether the software meets BGSU specifications.
One of the tools used to determine fit with our specifications was Advantiv DecisionDirector. BGSU created an extensive set
of requirements totaling 6,390, which vendors were asked to respond over the web, using the tool. Each vendor detailed whether
the functionality is met in the base system, user tools or with third party tools. If the functionality is not available,
it is considered a gap. The preliminary report indicates that PeopleSoft meets slightly more than 91% of the requirements
through its base system or user / third party tools available. Gaps will be evaluated much more closely during the upcoming
demonstrations.
A summary analysis of the PeopleSoft’s responses to our requirements has been prepared by Advantiv and is available for review.
Preparations for Vendor Demo
Vendor demonstrations with PeopleSoft have been scheduled for the week of October 27 through October 31st. Over the past
two weeks, the project team hosted a series of meetings in preparation for this demonstration. An overview of the schedule
follows:

Note: All days (10/27 - 10/31) will be in Olscamp Room 113. Each day will begin at 8:15 am and end at 4:45 pm. A detailed agenda is available. The housing demonstration on Wednesday, October 29th will be a third party vendor, RMS.
Additionally, PeopleSoft teamed with Perceptive Vision (ImageNow) to provide a document imaging solution. The document imaging
demonstration has been scheduled for Tuesday, November 4th from 9 am to 12 noon in Union Room 201A.
Demonstration Reminders
• Business scripts represent the key tool used for evaluation during demonstrations. • Please re-read and become familiar with the business scripts prior to demonstrations. • Updated versions of the scripts will be posted before Friday, October 24 on the web site. These will be reordered to match
the detailed schedule. • Please print and bring copies of each day’s scripts with you to demonstrations.
