Administrative Systems Review Project
Update - August 15, 2003

  The fall semester is upon us, we are busier than ever, and the project teams assembled to assist with the preparation of a Request for Proposal (RFP) for new administrative systems have not skipped a beat.

   In late July, project Validation Teams were formed from key business process owners and systems users to assist with the finalization of requirements. Earlier this year the requirements for new administrative systems were developed in a collaborative effort utilizing the web-based tool called DecisionDirector. The Validation Teams are tasked to review the voting results and insure that appropriate suggested additional requirements are captured and included in the RFP.

   The Validation teams are representative of each functional area where requirements were gathered. Areas represented by the teams follow:

  • Student Account Management
  • Student Financial Aid
  • Human Resources
  • Finance & Payroll
  • Document Imaging & General Requirements
  • Data Warehouse
  • Student Records / Registrar
  • Student Health & Housing
  • Student Recruitment & Admissions
  • Web Portal & Forms
  • Graduate College
  • Continuing & Extended Education
  • Firelands campus

   Since August 1, Validation Teams have completed more than 75% of the requirements validation. In each respective area, teams must log on to DecisionDirector and review the requirements knowledge packs to determine the final set of RFP requirements. This process will be completed between August 18 & 22.

   The Validation Teams second task in August has been to develop business scripts. Business scripts represent a tool used to evaluate possible administrative system vendors. Business scripts describe key or unique processes of BGSU. Vendors will be asked to demonstrate key functionality by following the BGSU scenarios provided in the scripts. Recently, BearingPoint provided example scripts to each Validation Team. Many teams have already begun their review. Meetings have been scheduled from August 18 through 29 to finalize these scripts.

   Project Timeline Established - The Validation Team group meeting was extremely successful. Productive dialogue resulted in a project timeline, taking into account the fall calendar and conference / travel season. Some dates of interest:

  • Completion of RFP requirements and business scripts - August 29
  • RFP release to potential vendors - September 8
  • Vendor responses due to BGSU - September 25
  • Vendors notified of product demonstration - October 6
  • Vendor demonstrations - October 20 through 31
  • Final vendor selection in November
  • Please note: The planned project timeline has changed slightly with the issuance of the RFP, please refer to the project timetable chart below for updates.
