Copying a HyperFind Query (created by another user)
In almost all cases, HyperFind Queries should have been created with a “visibility” of “Personal”. There are two reasons
for this:
First, if all Queries created by users were made “Public”, the drop down list would be endless and it would be inconvenient
for users to find their Queries. Second, a Query created by one user will not work for another user unless they are in the
same department and have access to the same students/area/orgs.
So, the unusable “Public” Queries just create clutter and make the system harder to use. The instructions below will walk
a user through the process of TEMPORARILY making a HyperFind Query Public so that it can be copied by another user.
1. Create a “Public” HyperFind Query from one user profile/sign-on. If it has already been created as a “Personal” query,
modify it to make it public:
a. Log into eTime
b. In the Navigator on the left side of the screen, click on “setup”, then “HyperFind Queries”. This will bring up a list
of all queries, public or private that you as a user have access to.
c. Click on the Query that you want to copy and make public so it is highlighted and then click on “Change properties” in
the menu bar.
d. In the dialog box that comes up, in the visibility section, click on the radio button next to “Public – visible to everybody”,
and then click on the “OK” button.
e. You will be returned to the original list, but the label in the “visibility” column should now read “Public” for your query.
f. Everyone on campus will now be able to see the Query, but only those with the proper access to your unique budget numbers
(area-orgs) will actually be able to use it.
2. Log off the user sign-on that created the Query. You are now ready to “copy” the Query to another user profile.
3. On any computer have the user who wants to copy the Query to their eTime access profile/sign-on, log into eTime as they would normally.
4. From the Navigator Bar on the left side of the screen, click on “Setup” and “HyperFind Queries”. In the list that is presented,
you should now see the Query made public by the other user.
5. Click on the Query that you want to make a copy of for the new user to highlight or select it.
6. Click on “Duplicate” in the menu bar. Don’t change any of the parameters or conditions unless to want to modify the Query instead of copying it.
7. Click on “Save” in the menu bar.
8. In the dialogue box that pops up, give the Query a suitable new name and click on the radio button next to “Personal –
visible only to me”. (If you don’t do this, the copy will then ALSO be available for everyone to see.)
9. Click on the “OK” button to save your changes. You will be returned to the original list of Queries. TO make sure your
Query was copied and saved properly, click on the “Refresh” button at the top of the screen. You should now see your copied
Query in the list.
You can repeat steps 3 – 9 above for as many users as you wish to have copy the Query.
When the individual users are done making the copies for each sign-on or “access profile”, you should then go back and make
the original “Personal” once again. To do this, reverse your steps as follows:
1. Sign-into eTime on any computer as the ORIGINAL user who created the Query.
2. In the Navigator on the left side of the screen, click on “Setup” and then “HyperFind Queries”.
3. From the list that is presented, choose the Query that you want to make “Personal” again by clicking on it so it is highlighted.
4. In the menu bar, click on “Change Properties”.
5. In the dialog box that is presented, click on the radio button next to “Personal – visible only to me”.
6. Click “OK” to save your changes.
7. The label should now be changed in the “Visibility” column and other users on campus will no longer be able to see your
Query.
