PeopleSoft Financial Management Solutions (FMS) Update
The BG@100 Project Team is preparing to perform three major tests of the FMS system. The first test is an integrated system
test that will occur in October. In this test, the BG@100 team will be verifying that the BGSU business processes all work
together with data converted from AFIN. The second test is a user acceptance test that will occur in November. In this test,
staff from the Business Office, SPAR Office, and Purchasing Office will be asked to test the BGSU business processes with
data converted from AFIN. At the end of this test, the offices performing the testing will be asked to acknowledge that the
system is production ready. The third test is a parallel test that will occur in December. In this test, 14 different departments
will simulate the August 2006 AFIN business that they processed in the FMS system. At the end of this test, the FMS data
will be compared to data captured from AFIN at the end of August 2006. In addition to these tests, the team will also be
performing system load testing so that performance thresholds can be established.
Training
The BG@100 Training Team has completed the PeopleSoft FMS Introductory training series on September 28. This was the first
major milestone for the training team. The BG@100 office would like to thank the 147 individuals that attended the training
sessions.
The training team will begin conducting hands-on training in october. This raining will initially be provided to the BGSU
staff that will function as training facilitators. The training facilitators will then assist with training activities throughout
the rest of the implementation.
Data Conversion
The BG@100 project team is finishing up the development work on the AFIN to FMS conversion programs. The team will continue
to make adjustments to the conversion programs until they are used to build the production FMS environment. It is expected
that all of the conversion programs will be considered ready by the end of October. The completion of the conversion development
will be considered a large milestone for the team.
Automated Workflow
The BG@100 project team continues to develop automated workflows for the new system. The workflow is essential for the elimination
of paper based approval processes. It is the project team's desire to eliminate as much of the paper based approval processes
in the current AFIN system as possible. The automated workflow will establish processes and controls where spending approvals
will be captured electronically in the FMS system. When the approver logs into the FMS system and approves a requisition
it is electronically logged and tracked.
The introduction of automated workflow with the implementation of PeopleSoft FMS will require add departments that purchase
goods and services to modify the way they process their purchases. The BG@100 project team will be assisting all departments
with the transition to automated workflow through the training class in November and December.
