PeopleSoft Financial Management Solutions (FMS) Update
FMS Project Scope
The FMS Scope document continues to be a topic for discussion at the Executive Steering Committee meetings. Once the discussion
on Grants Management concludes, the complete FMS Project Scope document will be published to the web. The following is a
high level summary of the FMS Project Scope.
- Conversion from AFIN to PeopleSoft FMS will occur February 1, 2007.
- General Ledger journal detail for fiscal year 2005/2006 and 2006/2007 will be converted from AFIN to PeopleSoft FMS.
- AFIN will be available for viewing history until the history is moved to a data warehouse.
- Information for vendors that have been actively doing business with BGSU in the past 18 months will be converted to the PeopleSoft
FMS system.
- No Accounts Payable history will be brought over for AFIN to PeopleSoft FMS.
- Requisitions and Purchase Orders which are open at conversion will be closed in AFIN and manually entered into PeopleSoft
FMS.
- All AFIN interfaces that are being retained will be converted to work with PeopleSoft FMS.
- AFIN functionality currently used by BGSU will be replaced by functionality available in the following PeopleSoft FMS modules.
- General Ledger / Commitment Control
- Purchasing
- Accounts Payable
- Accounts Receivable
- Asset Management
- Grants Accounting
- The following PeopleSoft modules will be implemented after Phase 1.
- Budgeting and Planning with Enterprise Performance Management
- Grants Management (pre-award and post-award)
Chart of Accounts
The Chart of Accounts design has passed the proof of concept test and the Executive Steering Committee has been given the
Chart of Accounts Design Summary document. The Project Team is planning Chart of Account design presentations which will
be conducted at the end of March and during the month of April. These presentations will provide the campus with an overview
of the Chart of Accounts design, a comparison of the FMS Chart fields with the AFIN Chart fields, and an opportunity to ask
questions.
Data Conversion
The BG@100 project team with assistance from the Business Office continues to work on the conversion of vendor information
from AFIN to FMS. A Vendor Information Standards document has been constructed and shared with the Executive Steering Committee.
This document will be used as a road map for improving the vendor information as it is migrated from AFIN to FMS. Additionally,
the document will be the guide for entering new vendors and modifying vendor information when we go-live with FMS.
Interfaces
The BG@100 project team continues to work on the financial interfaces that must be maintained in the FMS system. Over 70
interfaces are being analyzed to determine modifications that will be required so that they will function with FMS
.
BG@100 Project Office Update
The BG@100 office began conducting project update meetings with the primary financial offices in February. These meetings
will be conducted on a monthly basis and will provide a forum for sharing project progress.
John Gleason (a CIBER Inc. Consultant) has been named the BG@100 Project Manager on February 6, replacing Ben Santelman.
John had been working with the project team for the past three months as the Financial Functional Consultant.
Bruce Blandino (a CIBER Inc. Consultant) joined the project team on February 20th as a Financial Functional Consultant filling
the position vacated by John Gleason.
Jerry Ameling has joined the project team as the FMS Testing Lead. Jerry moved from ITS in Hayes Hall to the BG@100 office
on February 27, 2006.
