I am using Entourage 2008. Why does the font size increase each time a message is sent/replied to within the same thread? There is a bug w/ Entourage that can cause the font size to increase each time a message is sent/replied to within the same
thread. In order to fix it, here is what needs to be done -- set the default to send e-mail in plain text and uncheck "reply to messages in the format they were sent". Here are the instructions:
- Launch Entourage
- On the Entourage menu, select Preferences.
- In the left pane under Mail & News Preferences, select Compose.
- In the right pane, change the Mail Format pull-down menu under General to Plain Text.
- Also in the left pane under Mail & News Preferences, select Reply and Forward.
- In the right pane, uncheck the third checkbox ("reply to messages in the format they were sent")
For more information see the acknowledgement of the bug.
If I am accessing my e-mail from offsite, and the computer does not have Entourage, what will I see? If you are not at your own computer, you would open the web browser and enter 'mail.bgsu.edu' without the quote marks to login
to your Exchange account using Outlook Web Access (OWA). OWA is the web client used to access your BGSU Exchange account no
matter what type of computer you are using. For more information about OWA, see OWA (Outlook Web Access) Self Help. Note: You will only see content stored on BGSU's Exchange server using OWA.
I have two e-mail accounts, my personal e-mail and one for a BGSU organization. Can I access both accounts from Entourage? Yes, your computer can be set up to access both e-mail accounts and calendars. (At this time, the BGSU organization account
is in a group of accounts (office accounts) that have not been converted to Exchange so the implementation details are not
available yet). Each account would then have its own inbox listed in the navigation pane in the left sidebar (which keeps
the mail organized). Whenever you wanted to send a message from the organization's account, you would just select the name
of the account in the From field when composing the message. For an organization calendar, Entourage's folder-sharing features work well. (See Sharing calendars in Entourage 2008 at http://www.bgsu.edu/downloads/cio/file49174.pdf for more details.)
My messages were not getting sent using Entourage to recipients outside of BG. The messages sat in the outbox and would not
send. First, check whether you are connected to the Exchange server. Entourage will let you use the application without being connected
to the server, and you may not even realize that you are not connected. If you see the words, “You are working offline,” in
the bottom right corner of your Entourage window, and the words “Not connected” next to the BGSU Exchange icon in your navigation
pane, you are not connected. To connect:
- Quit Entourage and reopen it. When you see the box to enter your password, don’t click Cancel or enter your password too quickly. Either of these actions may trigger Entourage to work offline. When you type your password
in correctly, you may briefly see a message that says Entourage is syncing the files on your computer to the Exchange server.
- If you are certain you have typed the password correctly, or if your computer is set to remember your password for you, go
to the Entourage menu and see if there is a checkmark next to Work offline. If so, click to remove the checkmark. Entourage should then connect.
I need to send e-mail messages on behalf of my supervisor so that the recipient thinks the message is coming from my supervisor.
Can I do this in Entourage? Yes, you can do this in Entourage by using the delegate function. There is good information about how this works in Entourage’s help file. Go to Help, type “delegate” into the search box, and a list of articles will come up. Begin with the tutorial Delegate mail and calendar management to others.
How can you view more than 15 addresses in a group e-mail message? Entourage does not show all the e-mail addresses. To view the whole group before sending a message, click in the To or Cc field to bring up the address entry box. You will see all of the names on your list here. If the list is longer than your
window, drag the bottom right corner of the window to lengthen it and/or use the scroll bar to the right of the list of names
to see more of them. Note: When you set up a group, you will see the checkbox Don’t show addresses when sending to group. You can check or uncheck that box depending on your needs, however, you will just see the name of the group (and not member
names) in the To or Cc box when you are composing the message, regardless whether this box is checked.
How can I import my contacts from Apple Mail? Open Entourage, go to the File menu and click Import. Click Information from another application, then follow the instructions on the screen. More information on importing can be found in the Entourage Help. Search for
the article Import information into Entourage.
The spelling function is not working on my own computer like it did in my training class. Go to Entourage>Preferences>Spelling, and make sure that Check spelling while I type is marked. Also mark Suggest alternatives, if you would like to have that function.
Why is there a question mark next to an e-mail address after I enter it in the To box? If you enter the name of a person who is not in your address book and has not recently e-mailed you, Entourage marks the name
with a question mark.
I am waiting for an important e-mail. How can I check my messages manually to see if it has arrived?
By default, there is no delay between the time a message is sent via Exchange and the time it arrives in your inbox. Therefore,
you will not usually need to check your messages manually. If you are using Entourage at home or on a laptop in the field,
however, messages must also travel through your Internet service provider’s connection, and you might experience is a slight
delay. If you are working in the Mail screen, you can check messages at any time by clicking the Send and Receive icon in the toolbar. Or, from any screen in Entourage, type K for Send and Receive All, or click Tools > Send and Receive > Send and Receive All.
How do I resend a message that was incorrectly addressed or accidentally discarded? Open your Sent Items folder, locate the message you want to resend, and click once on its name in the message list to highlight it. Then click
Message > Resend. When the message opens, click in the To field to modify the recipients if necessary, and click the Send icon.
If I use the Out of Office reply function and check Send replies outside my company To: anyone outside my company, will I
come back to find my mailbox full of "unable to deliver for x hours" notices? The out of office will respond to anything that comes in, even if it is spam. However, nearly always, spam does not have a
valid return address. Set up your Out of the Office replies as you see fit - if people from outside of campus need to know
you will be out, use that option. Otherwise just send replies to messages sent from an @bgsu.edu address.
What are the Certificates referred to on the last tab of the New Contract form? A Certificate is a file issued and verified by a third-party authority that is used in digitally signing or encrypting messages. A certificate
is sometimes called a digital ID or digital certificate. When you sign a message digitally, it helps the recipient verify that you are the authentic sender and that the contents
of the message were not altered in transit.
Can I send an e-mail to a group and have the name of the group show up in the To field? No. In Entourage, you should give your groups names that will allow you to easily identify them in your address book. Those
names will not be visible to group members in e-mails they receive. The individual names of group members, however, could
be seen, depending on how you compose the message. See the chart below. If you want group members to know the name of the
group to which the message is being sent, add that information to the Subject line of the e-mail.

With Eudora, we have the ability to interface with an Excel macro to send individually addresses e-mail messages to lists
of people. Will this functionality be available in Exchange? Yes. It is possible to create merged e-mails using Word in conjunction with either Entourage or Outlook. In summary, you will:
set up the e-mail message in Word, connect the Word document to your Entourage address list, add placeholders for the merge
fields, then preview and complete the merge. You can preview each message before you send the whole set if you wish.
When using Entourage: Go to Tools > Mail Merge Manager, then click the arrow to the left of each numbered step and follow the instructions given there. In the last step, Complete the Merge, click the third icon from the left, Generate E-mail Messages. For more detailed instructions, search the Help in Word for the tutorial "Create a Form Letter by using the Mail Merge Manager."
Why is the font size in my messages different from the font size in my message list? I set the size I wanted under Entourage
> Preferences > Fonts. Font size in messages and other Entourage items is measured using a point-based system. However, the font size for the message
list, contacts list, and other lists is measured using a pixel-based system. So, depending on your screen resolution, fonts
in messages might appear to be a different size than the font of the message list, even if you have set these to be the same
size in Entourage Preferences.
Can I change the size of the time grid in my calendar so I can see more hours of the day at once? No, there does not appear to be a way to change this.
Can I see the academic calendar in Entourage? Yes, you can import the BGSU academic calendar into Entourage. See Importing the BGSU Academic Calendar into Entourage 2008 http://www.bgsu.edu/downloads/cio/file50570.pdf for instructions.
My co-worker is trying to invite me to a meeting. The scheduling assistant shows me as busy all day on that day, but I am
not. Check to see if you have an all day event (banner) on that day. If so, open that event and change your status from “busy”
to “free.”
When I drag a message to the junk folder, will all future messages from that sender go to the junk folder? No. You must highlight a message and select Message>Block Sender.
What will happen to the mailing lists that I use? Lists in listproc, LISTSERV and Blackboard are not affected by the migration to Exchange. See the chart below for information
on handling other lists.

My old list only contains e-mail addresses, not display names. Is this a problem? This is not a problem. You can create a group in Entourage by entering the e-mail addresses without display names.
Will all of the students have calendars now? Yes, every person on the BGSU Exchange system will have an Exchange calendar, which he or she can use and share with other
BGSU Exchange users. This will be a benefit to people who advise students or student organizations.
