If you are unable to open either spreadsheet, please use the list of information below to create your own list or contact
the DMRC (digserv@bgsu.edu) for assistance.
Each group of images must also be accompanied by a completed Asset List. This list is specifically designed to help our customers
provide quality information about their images. By doing this, we significantly improve the searchability of our collections
and provide a positive and productive user experience. Please ensure that your digital or slide entries accurately match
the Asset List.
Information included on the Asset List
- File Name – in the case of digital submissions, we need to be able to easily match the image with the corresponding information about
it. By clearly marking the Asset List with the appropriate file name, we will be able to accurately list the information.
- Title
- Alternate Title – used to improve searchability particularly when titles contain numbers, such as “10,000 Maniacs” alternative title: “Ten
Thousand Maniacs.”
- Artwork Creator – Last name, first name
- Artist’s Statement – you’ll have up to 4,000 characters for your artist’s statement.
- Short description – the short description typically appears with a thumbnail image. It can be up to 64 characters in length. This should include
a brief description of what the user will see if they click on the associated thumbnail image
- Description – the main description of the image can be up to 4,000 characters. The Description will allow viewers to search the database
for works that fit specific parameters, such as “color portraits in woodblock.” In order to improve our search results, consistency
is crucial. We recommend that you use the following format in your descriptions:
For representational work, use something like the following: This (black & white, color) print depicts a (still life, landscape, interior, exterior, etc.) showing ...[describe contents
of the scene].
This (black & white, color) print depicts a (figure, group of figures, portrait, self-portrait)...[describe something about
who they are, what they’re doing, where they are, facial expression, etc.].
For nonrepresentational work, use something like the following: This is a nonrepresentational image using (organic forms, geometric forms, painterly marks, linear elements, etc.). Describe
anything else that is visually apparent in the work....color dominance, movement, etc.
After these standard conditions are met, please feel free to describe your work in any way that you wish – including, but
not limited to, describing the image in more detail or the specific techniques used to make the print.
- Creation Year – the year in which the piece was created
- Artwork Dimensions – please include the dimensions in inches in the following format: 18” x 22” (height x width x depth (if applicable)
Note: For newer versions of Excel, the following fields have pull-down menus for your convenience. Click on the appropriate
cell on the spreadsheet and the pull down arrow will appear to the right of the cell. Click the arrow and make your selection.
- Type of Art - A selection must be made from one of the following options. Did we miss one? Please let us know! Until then, put the appropriate
information in the Notes field and leave the Type of Art field blank. Multiple selections are accepted.
