ML/SRA Reserve Policy

The Music Library and Sound Recordings Archives (ML/SRA) maintain reserve materials for sound recordings, videos, books, scores, and articles.  To find lists of reserve materials, visit the library's course reserve section of the Online Catalog.

To Place Materials on Reserve in the Music Library

Any individual teaching a course in the BGSU College of Musical Arts or anyone else on campus using materials from the ML/SRA collections may use the reserve services offered by the Music Library. All items placed on reserve for music courses will be housed in the Music Library Listening Center. The Music Library is not equipped to handle the distribution of class handouts or exams.

Scores, Books, Sound Recordings, DVDs, and VHS tapes

Choose between: 2-hour reserve (may not leave the Music Library); overnight reserve (may leave the Music Library 1 hour before closing; due back within the first hour of opening); 24-hour reserve; 3-day reserve.

  1. Obtain a reserve form from the Music Library Office or download it here.
  2. Complete and sign the form.

    • All call numbers must be provided. Music Library staff members will retrieve sound recordings and videos while professors or TAs must retrieve scores and leave in the front Music Library office with your request form..
    • Indicate "date on" and "date off" clearly, so that the staff can insure timely service. Unless materials are to be used for the entire semester, please provide a removal date.
  3. If a number of students will be required to listen to a particular work, please place multiple recordings of that work on reserve. This will aid us in meeting the needs of your students.
  4. Check the information for accuracy.  This will enable Music Library staff to process the request in a timely manner and alleviate confusion when students request materials
  5. Book/scores from other libraries (OhioLINK or Interlibrary Loan) may not be placed on reserve.

Journal Articles

Choose between:  2-hour reserve (may not leave the Music Library); overnight reserve (may leave the Music Library 1 hour before closing; due back within the first hour of opening); 24-hour reserve; 3-day reserve.

  1. Obtain a reserve request form from the Music Library Office.
  2. Complete and sign the form, following the guidelines above.
  3. Bound periodicals will not be placed on reserve. Any reserve journal articles should be submitted as photocopies, subject to U.S. copyright regulations. Personal copies and/or non-library materials will be handled on a case-by-case basis. Security is not guaranteed.
  4. Bring retrieved materials and the completed form to the Music Library office.

Additional Information

If you would like to use electronic reserves for journal articles, please contact the main reserve unit at 419-372-7908.  The ML/SRA has a scanner in our public space that you may use to scan materials for your course.

If any materials needed for reserve are checked out, please indicate this on the reserve form. A Music Library staff member will place a recall and hold on the items for you.

Reserve requests will be processed in the order they are received. A minimum of one week should be allowed for processing; more time may be necessary at the beginnings of semesters. Reserve requests must be signed before they will be processed.

Recordings from the Sound Recordings Archives collection (call numbers that do not begin with the word MUSIC, e.g., 12/33ColumbiaCS-9605) may not be placed on reserve because they are always available for internal listening. If archival recordings are needed, please consult the Sound Recordings Archivist, Bill Schurk.

All copies of sound recordings needed for class reserve must be made by the faculty member or graduate assistant; copyright compliance is the responsibility of the course instructor. It is advisable to make appointments to use the Music Library recording rooms through one of the Music Library supervisors during office hours (8-12; 1-5 M-F). Once scheduled, the recording rooms are available for use during the Listening Center hours. Blank CDs or tapes must be provided (or purchased from the Music Library) by the course instructor.

Music Library staff will not make copies of reserve recordings for individual students, nor do we allow students to copy reserve recordings. Any faculty member wishing to provide a personal copy of reserve recordings for a student will need to make arrangements outside the Music Library.
