 Introduction and History

The National Association of Student Personnel Administrators (NASPA-Student Affairs Administrators in Higher Education) collection was donated on October 24, 1983, as an important part of the National Student Affairs Archives. Many additions have been made to the collection since 1983. The collection consists of 155 linear feet of documents and encompasses the dates, 1919 to the present.

The collection is organized into eleven record groups, and a description of each group precedes the box/folder inventory. The record groups are: Administrative Files; Committees, Task Forces, Networks, and Knowledge Communities; Conference, Workshops, Seminars, and Institutes; Divisions, Centers, Academies and Programs; Executive Office; Foundation; Inter-association Activities; Officers and Appointees; Publications; Regions: and, Audio-Visuals.

NASPA-Student Affairs Administrators in Higher Education was first organized in 1919 as the National Association of Deans and Advisors of Men. The beginning activities of this association revolved around annual conferences. By the 1930s, a formal constitution was approved. In 1951, the name of the organization changed to the National Association of Student Personnel Administrators, broadening its membership base. Five commissions were established at the 1951 conference to deal with substantive, ongoing issues. These commissions also allowed more members to participate in the association’s work. Regions developed during the early 1960s, with elected Vice Presidents. These regions also allowed for more member participation in the development and successful completion of NASPA’s goals and objectives. Initiatives developed during the 1970s to allow more inclusion of women and minorities. A part-time controller was selected in 1970, and over time this position developed into a staffed executive office located in Washington, D.C. Divisions replaced the early commissions, centers and academies emerged along with workshops and institutes to cover the broad spectrum of issues facing student affairs administrators at college and university campuses across the nation and throughout the world. The Foundation was formally established in 1973, and now funds research and other initiatives deemed of importance to NASPA and the student affairs profession. Record Group/ Series Description

The National Association of Student Personnel Administrators (NASPA-Student Affairs Administrators in Higher Education) collection is organized into eleven record groups: Administrative Files, Committees/Task Forces/Networks/Knowledge Communities, Conferences, Workshops, Seminars, and Institutes, Divisions, Centers, Academies, and Programs, Executive Office, NASPA Foundation, Inter-association Activities, Officer and Appointees, Regions, and Audio Visuals and Oversize Items. These record groups are described below.

Record Group: Administrative Files

The administrative files represent the organizational beginnings and development of NASPA, structural changes in operations, and the leadership and decision-making processes of the Executive Committee and Board of Directors.

Included in this record group are the constitutions and bylaws as first written and as amended over the years, procedural handbooks and manuals, strategic planning files, rosters, and official statements and resolutions. The minutes and agenda items of the Executive Committee and Board of Directors are the most extensive part of this record group. These files are fairly comprehensive and span the dates, 1936 to 2008.  They include minutes; correspondence; and officer, committee, task force, region, division, network, and knowledge community reports.

Record Group: Committees/Task Forces/Networks/Knowledge Communities

Much of the work accomplished by NASPA is completed at the committee level. Many of the committees started as task forces and were officially recognized as committees at a later date. Networks developed from the committee structure to create a more inclusive organizational structure and encourage communication among members. Knowledge Communities developed as a replacement for the Networks allowing for increased use of electronic media and communication tools.  For a complete listing of the current Knowledge Communities, please refer to the NASPA website at:  http://www.naspa.org

The committees, task forces, and networks are arranged alphabetically. Included in the files are minutes, correspondence, reports, and newsletters. Files from the Knowledge Communities follow, but are very limited in scope. Inclusive dates for this record group are the 1960s to the present day.

Record Group: Conferences, Workshops, Seminars, and Institutes

This record group is one of the richest informational sources in the NASPA collection, especially for documenting the early beginnings of the Association. The history of NASPA begins with these files from the first informal meeting of deans in 1919 to today’s multi-layered, thematic conferences attended by thousands of NASPA members.

The annual conference files may include published proceedings, especially during the early years of NASPA, programs, evaluations, planning correspondence, reports, and case studies.  Rarely are actual papers given at conferences included in the files. Of interest are the planning files for the first combined meeting with NAWDAC and ACPA in 1974, and subsequent joint meetings with ACPA in 1987, 1997, and 2007.

Special Seminars and Institutes have been established by NASPA to meet the needs of particular groups and interests within NASPA. NASPA joined with the American Council on Education (ACE) in 1975 to offer an annual Institute on various subjects.  This Institute was named for the former NASPA Executive Director, Richard F. Stevens, in 1987, and became solely administered by NASPA starting in 1990. A Symposium for Women Aspiring to the Chief Student Affairs Position was first offered in November 1989 to assist women moving into management positions in Student Affairs.  This Symposium is offered biennially and was named for Alice Manicur in 1996.  The National Academy for Leadership and Executive Effectiveness was established in 1997, offered biennially, and named for James E. Scott in 2003.

Also included in this record group are files documenting various conferences, workshops and teleconferences sponsored by NASPA on special topics of interest to NASPA members.

Record Group: Divisions, Centers, Academies, and Programs

NASPA’s division structure was established to encourage member participation in association business, specifically around critical issues such as job placement, membership, public affairs advocacy and publications. Some divisions merged with others over time and other structures emerged along with the divisions. Today NASPA addresses critical issues affecting student affairs and higher education through national Divisions, Centers, Academies, and Programs.

The current Divisions include Community Colleges, Professional Standards, Public Policy, Research, and Small Colleges and Universities. Earlier Divisions included Association Personnel and Services, Career Development and Placement, Career Development and Professional Standards, Communication Services, Governmental Relations and Legislation, Member Services, Professional Development and Standards, Professional Relations and Legislation, Research and Publications, and Research and Program Development. Division correspondence is arranged chronologically by the director’s name or by subject. Also included are division newsletters, surveys and studies.  The records date from the late 1960s to the present.

Other organizational structures include the Center for Scholarship, Research, and Professional Development for Women; International Advisory Board; Programs and Services; Faculty Fellows; and, the James E. Scott Academy. Programs include the Undergraduate Fellow Program, formerly the Minority Undergraduate Fellows Program. Administrative records are included for these structures, however, the specific records of conferences and institutes administered by these organizations, with the exception of the MUFP and NUFP programs, are located with the Conferences, Workshops, Seminars, and Institutes records group. These records date from the 1980s to the present.

Record Group: Executive Office

The Executive Office files depict the daily administration of this national professional association.  Of special interest are the annual reports and correspondence of the Executive Director.  These records date from 1968 to 2006 and provide much insight into NASPA’s organizational and professional issues.

Included with this record group are the financial records which include reports, budgets, investment management files, as well as corporate support and fundraising files.  These records date from 1934 to 2000.

Legal files include agreements and contracts with the various institutions in which the executive office resided, insurance policies, and correspondence, dating from 1970-1991.  Membership documents include brochures, rosters and directories, handbooks, manuals and statistical reports.  These records date from 1962-2001.

The subject files, arranged alphabetically, provide details on various issues and events with which NASPA was involved.  These files date from the 1960s to 1993.  Of special interest are various histories of NASPA written between 1971 and 1989. More current histories are located on the NASPA website.

A very important record series included in the Executive Office files documents the  consolidation efforts between NASPA and the American College Personnel Association (ACPA), starting with the Blue Ribbon Committee in 2002 and ending in 2011 with a negative vote.  In addition to the committee files, the entire correspondence/e-mail files of NASPA President Mike Segawa regarding the consolidation are included in this record series.

Also included in this record group are the files from a major benchmarking project involving student affairs functions, which was conducted by NASPA and coordinated by the Executive Office.  The records from this project date from 1995-2004, and include correspondence, consolidation files, and reports.

Record Group: NASPA Foundation

The Foundation Files consists of records documenting the activity of NASPA’s endowment fund since its establishment in 1973.  Known initially as the NASPA Institute for Research and Development (NIRAD), the fund was established to provide support for special projects and research. Included in this record group are files documenting the establishment of the fund, bylaws, administrative files, board minutes and agenda books, correspondence, financial reports, fundraising projects, Pillars of the Profession files, and funded research project files.  The records date from 1973 to 2009.

Record Group: Inter-association Activities

The Inter-association Activities record group documents the relationships between NASPA and other associations involved in the fields of higher education and student affairs. These files illustrate the diversity of interests and initiatives which NASPA shares with a variety of associations. The files are arranged alphabetically by the association’s name and the dates range from the 1950s to 2000.  The files usually include correspondence, reports, and publications.

Record Group: Officer and Appointees

The Inter-association Activities record group documents the relationships between NASPA and other associations involved in the fields of higher education and student affairs. These files illustrate the diversity of interests and initiatives which NASPA shares with a variety of associations. The files are arranged alphabetically by the association’s name and the dates range from the 1950s to 2005. The files usually include correspondence, reports, and publications.

Record Group: Publications

The Officer and Appointees record group contains documents generated by individuals holding elected or appointed positions with NASPA. Represented are files from many of the Presidents, several Secretary-Treasurers, Editors of both the Journal and Monographs, Regional Vice Presidents, Network Directors, and the NASPA Historians. The President’s files may include correspondence from the officer’s time as President-elect, President, and Past President. The files largely contain correspondence, some reports and writings, and are arranged by office and by the name of the person holding that office. The files largely date from 1935 to 2010.

Please note that additional correspondence from and to officers and appointees may also be found in the Executive Director’s correspondence files, and the Executive Committee and Board of Directors files.

Also of interest in this record group is an extensive evaluation of NASPA publications conducted in 1992 under the direction of John Schuh.

Record Group: Regions

NASPA regions represent the activities of the NASPA organization and members at the grass roots level. Seven regions represent groupings of states, as well as provinces of Canada.  They also represent many affiliates located throughout the world. To see a current map of the regions, please go to www.naspa.org/regions/.  The regions are organized in a similar manner to the national association.  The regions allow NASPA members to gain experience within the profession and within the national organization at a more local level.

This record group is organized by region. Within each region, the files are arranged according to the following record series: proceedings (mission, handbooks, board minutes, rosters); Vice Presidents’ correspondence and reports; committees; conferences and workshops; and, publications. The amount of documents and span of dates vary for each region. Most of the records date from the 1970s to the present.

Record Group-Audio Visuals and Oversize Items

The audio recordings include tapes of annual business meetings, conference speakers, officer presentations, and the taped interviews of several deans for the book, Pieces of Eight. Audio tapes date from 1970 through 2002. Video recordings document teleconferences, officer presentations, conference and academy speakers, and date from 1977 through 2008. The video recordings include several formats including VHS, various size masters, CDs and DVDs. The photographs include formal and candid pictures from conferences, the central office staff, Board of Directors meetings, and portraits of NASPA officers and members. The photographs include both prints and negatives and date from 1972 through 2005.

The oversized items include two educational kits developed by NASPA, a banner used at conferences, and an award proclamation.
