PROMOTION AND TENURE REVIEW COMMITTEE (PTRC)

Membership

1. Divisional Representation

  1. Three members, elected by the probationary and tenured faculty, one elected from each of the three divisions of the college. These members will serve two-year terms.
  2. An at-large member elected by the probationary and tenured faculty of the college to serve a two-year term.  Candidates for this position will rotate among the three divisions.

2. The chair of the PTRC rotates annually among the three divisions.

3. To allow for 'staggered' terms, the at-large member is elected along with one divisional representative. Alternate years, two divisional members are elected.

4. To elect a divisional member to the PTRC, each department of the division elects one nominee; all faculty in a division vote on all nominees. Probationary and tenured faculty, including chairs, are eligible to vote.  The following restrictions apply:

  1. No probationary faculty, department chairs, assistant/associate deans, or administrators are eligible to stand for election as a representative to the PTRC.  Faculty members whose primary faculty assignment is outside the College of Arts and Sciences are also ineligible for PTRC membership.
  2. Members must be elected by a majority of those voting rather than by a plurality.
  3. No individual may serve two successive terms.
  4. No division may elect two successive representatives from the same department.
  5. The PTRC may not have two members from the same department (or comparable unit).

Function

1. Promotion/Tenure Review:

  1. The PTRC membership reviews the documentation for all candidates being reviewed for promotion or tenure except those from their respective departments. The Committee does review dossiers of faculty NOT recommended for tenure at the department level (Charter interpretation, 1989).
  2. Recommendations from the PTRC to the Dean are of three types:  recommended for promotion and/or tenure; not recommended for promotion and/or tenure; and no recommendation (split). Such recommendations may be shared formally or informally. The PTRC does not "vote" as an official step in the college's tenure/promotion process.

2. Annual Review of Tenure-Track Faculty

These reviews provide peer feedback in reference to performance standards established in the unit's tenure/promotion and merit documents and should focus on progress. It is important to document the strengths and weaknesses of the probationer to provide important developmental feedback in a regularized fashion.

  1. For faculty hired in 1997 and later, multiple year contracts determine the year for review and recommendation for reappointment. In general, the faculty member will be reviewed during the third year (3/7) before a decision is made to reappoint for an additional three years. Materials submitted for review are the same as for tenure/promotion with the exception of the external letters of evaluation. If a person is awarded credit for previous full-time university experience, the mid-career review will take place during the final year of their first multiple year contract. The PTRC will review the files submitted and assess the progress being made.
  2. For faculty hired prior to 1997, annual review for reappointment is still necessary. Tenured faculty members are responsible for participating in this important process. An Annual Progress Toward Tenure Policy is standard for the college and describes the procedure to be followed. Specifically, the credentials (vita and letter of evaluation from the chair/director written in conjunction with a sub-group of tenured faculty) are submitted to the PTRC and reviewed during year four.
