COLLEGE OFFICE STAFF RESPONSIBILITIES

 

DEAN
Donald G. Nieman

Administrative officer of the college. Chief personnel and contracting officer.

Representative of the faculty of the college with the authority and responsibility to present their views and to promote their best interests as an academic unit.

Responsibility to communicate, interpret, and report the views and positions of the college faculty to the central administration and those of the central administration to the college faculty.

Brings current scholarship and critical thought to bear upon the instructional programs of the college.

Responsible for coordinating, scheduling, evaluating, and improving the curricula and programs of instruction, including proposals for new courses or the modification or discontinuance of existing courses. Provides leadership in all matters related to Program Review.

Responsible for serving the students of the college from recruitment through graduation.

Responsible for promoting the college through appropriate University channels, including the revision of official University publications, such as the annual catalog, bulletins, etc.

Responsible for coordinating activities between the college and the Graduate College in matters including modifying the graduate curriculum within the departments and schools, scheduling of graduate courses, recruiting and scheduling of graduate faculty, and clarifying the financial impact of the graduate courses on the collegial budget.

Reviews all departmental and school personnel recommendations concerning faculty and academic staff (i.e., recommendations for new appointments, reappointments, performance evaluations, salary changes, terminations of contracts, tenure, leaves of absence, and promotions) in accordance with the principles set forth in the Charter.

Serves as chief fiscal officer for the college, and as such is responsible for the effective and efficient employment of budgetary resources.

Responsible for the preparation and administration of the budget for theCcollege.

Responsible for representing the College and its programs to external constituencies.

Responsible for collaborating with the Vice Provost for Research and Dean of the Graduate College to promote research and graduate education.

Provides leadership for College development activities.

Provides leadership for encouraging interdisciplinary collaboration in the College and with other colleges.

Responsible for fostering a sense of intellectual community among faculty and students in the College.

ASSOCIATE DEAN for RESOURCES, and PLANNING and STUDENT SERVICES

Works with chairs and directors to develop fall and spring schedule of courses

  • Monitors faculty teaching assignments
  • Authorizes hiring and develops budgeting for part-time staffing
  • Monitors seat availability and works with O-reg staff to ensure availability of A & S courses to incoming students

Serves as summer school dean and is the principal liaison to the Office of Continuing Education, International and Summer Programs for summer offerings and summer budget and staffing

  • Administers summer school budget
  • Approves summer workshop curriculum offerings

Designs, compiles and manages collegiate databases and provides on-going analysis of data (studies , trends, comparisons)

  • Serves as liaison for the College to Senior Vice President for Finance
  • Serves as liaison for the College to Office of Institutional Research
  • Serves as liaison for the College to Office of Registration and Records

Advises Dean in development and allocation of collegiate resources; participates in the budget building process and serves as ex-officio member of CCOB

  • Works with budget coordinator to monitor operating budgets and foundation budgets
  • Maintains line authority and responsibility for management of resources in the College office
  • Signs all travel forms for chairs and for faculty requiring approval of excess lodging
  • Signs all supplemental and overload pay requests and disbursement forms
  • Administers budgets of interdisciplinary and special programs
  • Reviews lab and special fee requests
  • Works with chairs on equipment needs and instructional equipment replacement processes

Coordinates Capital Planning Requests within the college

Serves on dean's behalf as ex-officio member of:

  • College Committee on Budget
  • College Recruitment Committee
  • Enrollment Network
  • Canadian Studies Advisory Committee

Serves as manager of personnel resources for faculty and staff

  • Reviews all position request forms and works with affirmative action to ensure compliance
  • Monitors all faculty and staff recruiting and hiring
  • Reviews all requests for FMLA, sick leave, disability; serves as principal contact for the office to the Office of Human Resources
  • Works with budget coordinator on equity and market adjustments
  • Manages faculty improvement leave requests and develops budgets
  • Monitors annual reviews of all administrative and classified staff in the college
  • Ensures annual notification of renewals for all administrative staff and temporary faculty

Oversees third-year review of A&S faculty and coordinates the development of departmental Retention Plans for new faculty

Oversees the annual review of A&S faculty progress toward promotion and tenure; oversees development of Retention Plans for probationary faculty

Reviews Grant proposals and serves as the principal representative for the College to the Office of Sponsored Programs and Research

Coordinates A & S technology issues and initiatives.

  • Serves as ex officio member of College Technology Committee
  • Serves as College liaison to ITS
  • Coordinates desktop replacement process
  • Coordinates Blackboard administration

In cooperation with Administrative Secretary to the Dean, and other associate deans oversees elections to Faculty Senate, PTRC. A & S Council, Undergraduate Council and Divisional Curriculum Committees

May be asked to assume administrative responsibility of collegiate operations in the absence of the dean

Responsible for Student Services Operations of the College of Arts & Sciences

  • Supervises and evaluates the Director of Student Academic Services and oversees college advisers and classified staff assigned to student affairs; oversees department/school/program student advising practices and activities
  • Supervises and oversees Associate Director in charge of all freshman and transfer student O-reg activities
  • Oversees collegiate activities conducted on behalf of students and related to careeer planning, placement, honors recognition, Preview Days, President's Day.
  • Coordinates grade appeal committees and A & S Student advisory board; oversees suspension and dismissal process
  • Coordinates all action related to academic dishonesty cases involving A & S students
  • Coordinates all publications related to student services
  • Responds on the dean's behalf to reported student problems (related to course offerings, grades, instructor policies
  • Serves as college liaison to the Vice Provost for Academic Programs


Elizabeth Smith Cole (colee@bgnet.bgsu.edu)

ASSOCIATE DEAN for COLLEGE ADVANCEMENT
Secretary II: Joyce Arreguin (419-372-2017, ajoyce@bgnet.bgsu.edu)

Works with the Development Office, Dean and faculty to cultivate donors and oversees the College's priorities for fundraising.

Serves as College liaison to the Office of Development and the University Foundation for the Comprehensive Campaign.

Coordinates constituency-based alumni activities for the College.

Organizes all meetings and events for the College Advocates and the Arts Advocates.

Works with the director of the BGSU Telefund during the College's solicitation period.

Responsible for directing and monitoring collegiate activity related to assessment.

  • Provides annual written feedback to all departments and programs on their assessment progress.
  • Serves on the Student Academic Assessment Committee.
  • Serves on the Assessment Grant Committee
  • Coordinates assessment oversight of general education with General Education Co-Directors

Advises the Dean on academic program development and the progress of departments/programs on implementation of Program Review recommendations.

Coordinates Arts and Sciences/Education initiative for improving K-12 teacher preparation. In addition, serves on:

  • Teacher Quality Success Initiative Leadership Team
  • Annual Teacher Preparation Summit
  • Partners in Context and Community
  • PRAXIS oversight
  • NCATE liaison for the College of Education and Human Development

Serves as ex-officio member on:

  • Africana Studies Executive Committee
  • International Studies Advisory Board
  • Ethnic Cultural Arts Program Executive Committee
  • Arts Roundtable
  • Medici Circle
  • Arts and Sciences Council

Organizes special events for the College:

  • Arts and Sciences Forum
  • Homecoming
  • Family Weekend
  • Best of BGSU Accomplished Graduates
  • Bravo BG Events

Responsible for the annual publication of the College alumni magazine.

Coordinates graduate program and policy matters and serves as the College liaison to the Graduate College.

  • Oversees graduate stipend allocations, recruitment fund allocations and recruitment award grants.
  • Reviews grant proposals and serves as the principal representative for the College to the Office of Sponsored Programs and Research.

Serves as the College representative to Graduate Council and chair of the Graduate Issues Committee.

Works, in cooperation with A & S Associate Deans and the Administrative Secretary to the Dean, to oversee elections to Faculty Senate, PTRC, A & S Council, and Divisional Curriculum Committees.

Organizes Commencement and serves as the Commencement Marshal for Arts and Sciences spring commencement.

Coordinates nominations and ceremony arrangements for honorary degrees.

Coordinates maintenance and design of the College web page.

May be asked to assume administrative responsibility of collegiate operations in the absence of the Dean.

ASSOCIATE DEAN FOR CURRICULUM, FACULTY ADVANCEMENT AND GENERAL EDUCATION

CO-CHAIR OF GENERAL EDUCATION:

Coordinates efforts to update and improve the General Education curriculum at BGSU. Provides leadership to faculty and departmental coordinators of General Education courses.

Coordinates faculty development of General Education instructors. Coordinates efforts to increase the number of tenured and tenure-track faculty teaching GE course and improvement of course delivery methods.

Provides leadership for new initiatives in General Education Reform. Provides leadership to connect and strengthen existing initiatives relating to General Education such as BGeX, Honors Program, Linked courses, Small classes initiative and student learning communities.

Coordinates major initiatives to decrease size of many GE classes especially at the 100 level, to improve the Freshman experience and increase retention rates.

Gives presentations to educate and inform administrators, faculty, community and regional constituencies and students on the central philosophy of General Education, its connection to the University mission, learning outcomes and Values Initiatives.

Coordinates annual and major reviews of the General Education Program

Coordinates the development and maintenance of databases for tracking student registration and enrollment patterns in GE courses across time.

Supervises Graduate Research Assistant assigned to General Education.

Coordinates General Education Committee Meetings.

Sits on BGX Advisory Board.

CURRICULUM

Coordinates all undergraduate curriculum matters for the college including oversight of new programs, major changes to existing programs, curriculum modifications, routing and tracking of curriculum modification forms.

Oversees scheduling and coordination of college curriculum meetings for Arts and Humanities, Social and Behavioral Sciences, natural Sciences and Interdisciplinary Council. Coordinates curriculum meetings on behalf of college.

Approves summer workshop curriculum offerings

Serves as liaison to Vice Provost for Academic Programs

Oversees on-line catalog process and up-dating of departmental check sheets for college. Serves on the University catalog committee.

Has final signatory authority for all curricular transactions processed by A&S

Serves on Undergraduate Council and

FACULTY ADVANCEMENT

Oversees third-year review of A&S faculty and coordinates the development of departmental Retention Plans for new faculty.

Oversees the annual review of A&S faculty progress toward promotion and tenure; oversees development of Retention Plans for probationary faculty.

Serves as liaison to College PTRC

Serves as Ex-Officio member of Women's Studies Steering Committee

A&S Chair/Director meetings

May assume administrative responsibility for full range of collegiate operation in absence of the Dean


COORDINATOR OF COLLEGE BUDGETS
(Nasir Islam)

Support staff for Dean & Associate Dean for Budgets & Resources

Coordinates/supervises preparation and issuance of all contracts for faculty and administrative staff in the College

Processes materials for part-time staffing requests

Works in consultation with the Dean/Associate Deans on salary and operating budgets

Monitors expenditures made against all salary and operating budgets; maintains records of such expenditures, as required

Coordinates maintenance of employment records for faculty/administrative staff

Serves as college resource on fiscal/budgetary matters; handles inquiries from the offices of Academic Area Budgets, the Provost, SPAR, Graduate College, Payroll, Business, and Continuing Education/Summer School

Responds to inquiries from faculty, administrative and classified staff regarding University financial transaction procedures and budgets

Collects data and prepares reports as requested


DIRECTOR STUDENT SERVICES
(Darlene Thomas)

Support Staff for Associate Dean of Student Affairs

Responsible for academic advising of undergraduate students; provides academic support from registration through graduation

Participates in the degree audit and graduation verification processes for BA & BLS majors

In consultation with the other advisors, approves or denies routine student appeals

Serves as liaison to departmental/school/program advisors and other units of the University that provide academic advice to students in the College of Arts and Sciences; assists with Advisor's Handbook

Serves on College curricular committees and University committees as appointed by Dean

Advises the Associate Dean in matters concerning the hiring, training, assignment of duties, and performance evaluations of classified staff in the student services area

Prepares drafts of routine student-related correspondence for Associate Dean

Coordinates College recruitment efforts including Preview Day & President's Day; coordinates College O-Reg activities

Serves as collegiate liaison to Athletics, Firelands College & Owens Community College

Represents College in university's retention-related activities

Provides background material to the Associate Dean for Student Affairs on curricular matters, as requested


ASSOCIATE DIRECTOR OF STUDENT SERVICES
(Cindy Colvin)

Support Staff for Associate Dean of Student Affairs

Responsible for academic advising of undergraduate students; provides academic support from registration through graduation; coordinates DARS

Participates in the degree audit and graduation verification processes for BA, BSJ and GSB majors; responsible for checksheets

In consultation with the other advisors, approves or denies routine student appeals

Serves as liaison to departmental/school/program advisors and other units of the University that provide academic advice to students in the College of Arts and Sciences; assists with advisors handbook and fall faculty advisor meeting

Serves on College and University committees as appointed by the Dean or Associate Dean

Advises the Associate Dean in matters concerning the hiring, training, assignment of duties, and performance evaluations of classified staff in the student affairs area

Prepares drafts of routine student-related correspondence for Associate Dean

Coordinates College special events related to Student Affairs/Services, e.g., Family Weekend receptions, graduation receptions for honors' graduates, the annual Honors and Awards Banquet

Serves as collegiate contact/coordinator for scholarship selections/opportunities

Serves as collegiate liaison to Office of Academic Enhancement and Pre-Major Advising

 


COORDINATOR ADVISING SERVICE
(Diana Carpenter)

Support Staff for Associate Dean of Student Affairs

Responsible for academic advising of undergraduate students; provides academic support from registration through graduation

Participates in the degree audit and graduation verification processes for BFA & BAC majors

In consultation with the other advisors, approves or denies routine student appeals

Serves as liaison to departmental/school/program advisors and other units of the University that provide academic advice to students in the College of Arts and Sciences; assists with Advisor's Handbook and Fall Faculty Advisor meeting.

Serves on College and University committees as appointed by the Dean or Associate Dean

Advises the Associate Dean in matters concerning the hiring, training, assignment of duties, and performance evaluations of classified staff in the student affairs area

Prepares drafts of routine student-related correspondence for Associate Dean

Coordinates special activities related to recruiting: Career Info Sheets, Host a Scholar Day, National Merit Visits, Welcome Week Meeting for Undecided Students, etc.


COORDINATOR RECRUITMENT/RETENTION

Serves on College and University committees as appointed by the Dean or Associate Dean

Advises the Associate Dean in matters concerning the hiring, training, assignment of duties, and performance evaluations of classified staff in the student affairs area

Prepares drafts of routine student-related correspondence for Associate Dean

Oversees the preparation of materials related to the meetings of and decisions by the Academic Board of Appeals; circulates the appropriate forms related to student appeals; communicates non-routine appeals to the Divisional Committee or Associate Dean for Student Affairs

Serves as contact to Admissions Office and Chapman Living Learning Center

Coordinates development of A&S website, maintenance and links
